Due to expansion and demand for our services we are now looking for a Depot Duty Manager to join our management team.
Sharing management control and responsibility for the designated depot; to manage all depot staff, motivating the team with a view to ensuring that all clients' claims are professionally and swiftly dealt with, whilst at all times enhancing business processes and achieving business objectives. To develop teams that deliver both quality and results.
Reporting to our Depot Manager duties and responsibilities will include
Management Responsibilities:
?? Have shared responsibility with the Depot Manager for all depot staff, and staffing levels, to ensure our collective targets are attained.
?? To resource, manage and deploy resources in accordance with the business need.
?? Management of the daily job allocation for the depot.
?? Working with the driving team to ensure that customer service is always maintained.
?? Maintaining contact with the claims office and providing advice on the availability of suitable vehicles.
?? Management of depot expenditure, keeping costs to a minimum without compromising service and setting up accounts where appropriate.
?? Constantly initiate and evaluate opportunities to enhance performance across all areas of the transport operation.
?? When necessary act as the overall referral point for the Depot on a day to day basis
?? Undertake regular auditing and quality checks of depot staff's work and procedural compliance.
?? Personally manage and resolve any complaints that cannot be dealt with by drivers or coordinators with clients or our sources.
?? Liaise with FLD and Depot Manager to resolve any escalated complaints
?? Coordinate with other Depot Managers to ensure the best results and efficiency for the company.
?? To ensure that all staff under their control are aware of and observe company rules and procedures.

?? Ensure that training needs in staff are identified and meet all the requirements of each role and that relevant training is delivered, recorded, evaluated and amended as appropriate.
?? Raising standards in an area of different levels of ability
?? Understand and interpret Management Information that is produced so that development trends are understood and proactive action is taken at every opportunity.
Operational Duties:
?? Undertaking regular checks to and updating of computer and paper-based systems operated within the depot.
?? Dealing with hire vehicle damages in line with company procedures ensuring minimal downtime.
?? Ensure that fleet schedules are maintained, and de-fleeting vehicles are made available to the De-fleet Team as and when required.
?? Maintaining excellent relations with customers, repairers, claims office and referral sources alike.
?? Review cross hire usage in line with utilisation to ensure that kept to a minimum by sourcing the correct vehicles for the fleet.
?? General administrative duties.
?? Working as part of a team, attending team meetings and contributing where appropriate.
?? To ensure that the depot has the correct levels of hire vehicles whenever possible.
?? To ensure all vehicles project the company image.
?? To ensure all vehicles are legal and safe.
?? To ensure the depot interior and exterior are clean and tidy and that their presentation projects the company image and adheres to health and safety requirements.
?? To ensure that all staff under their control conform to the Health and Safety requirements set out in the company policies.
?? Assist the Depot Manager with any staffing issues in line with the company handbook and with the guidance of the company HR representative.
?? To ensure the depot maintains an effective dialogue with our Internal Claims Teams providing feedback where appropriate.
?? Any other duties reasonably requested by Management
Knowledge
Experience
Knowledge of UK and EU Drivers hours legislation
Awareness of the maintenance requirements of motor vehicles
Working experience within the motor industry with responsibilities for the tracking of workers' hours in line with relevant legislation.
Computer Literacy
Solid experience in working with management applications and MS Office applications with strong Excel and Reporting skills.
People Management
At least 2 years' experiencing in managing small - medium sized teams with different working arrangements.
Basic knowledge of HR processes.
Commercial Awareness
At least 2 years' working experiencing with responsibilities in improving operational practices to meet targets in line with business priorities.
Good working knowledge of motor sector challenges and developments.
Skills\Abilities
Personal qualities/Other
Sound judgment and technical knowledge, together with commercial awareness.
Must be able to manage through others and have excellent interpersonal, communication and motivational skills.
Pro-active approach to mastering detailed industry related processes
Excellent communication, relationship building and negotiation skills, both oral and written, with the ability to communicate effectively across all levels of the business.
Strong leadership and organisational skills with the ability to plan, implement and deliver business objectives within set timeframes.
Willing and available to work a rolling rota over 7 days including Bank holidays and weekends.
Must hold a full and valid UK Drivers license for at least 2 years.
A flexible approach to work and daily tasks.
Pragmatic view to problem solving and anticipating potential future problems and taking appropriate action to mitigate impact.
Confident and personable with a genuine interest in building lasting relationships across the business.
Energetic with a positive outlook to a changeable and fast paced environment.
Genuine interest in the motor industry and keeping up to date with any industry developments.
Decisive while working on own initiative.
Working hours will be 7am - 7pm on a rolling contract over 7 days. Equating to 42.5 hours a week.
We are offering a salary of GBP23,000 per annum.
