Our specialist educational based client is seeking to recruit an office manager to join their team from October 2020

Reporting to the Head of School this is a term time only position working 35 hours per week

Salary GBP22500 per annum - this is the amount you would earn and does not need reducing due to term time only.

Hours: 7 hours per day, commencing at 8.30am - until 4pm

Due to workplace location your own transport is essential.

JOB PURPOSE:

Provide administrative support for students, staff and parents to ensure the effective management of the school.

To provide outstanding leadership and management in all aspects of office based administration.

To provide administrative support to the Senior Leadership Team.

Provide administration support in liaison with finance, personnel, HR personnel, facilities and estates management personnel where required.

Support links with the community, local authorities, families and local environment.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Relationships

Ensure excellent relationships with students, staff and parents to ensure that an effective service is provided to each of these stakeholders.

To ensure a first class 'front of house' service for all visitors to the school.

To ensure staff (including agency) follow school policies relating to visitors and their responsibility in safeguarding children.

Support the Head of School to ensure that their responsibilities to the School are effectively undertaken through delegation to the admin team.

Management

Provide outstanding operational management for all areas of responsibility.

Performance Manage all staff with respect to all areas of responsibility; through regular meetings, setting of appropriate targets for performance, providing support and challenge, and undertaking regular reviews for feedback.

Maintain an up-to-date understanding of relevant educational issues, policies and legislation; and incorporate the implications within the operation of your role.

Management Information Systems

Support the operation of Management Information Systems to ensure their effective and efficient use across the school.

Manage the collection, collation and distribution of all statistical and statutory returns

Responsible for production of class lists, timetable updates, inputting and managing student data, archiving information, attendance reports, attendance management etc.

School Administration

Deliver systems and structures for the effective management and administration of all areas of responsibility that deliver outstanding outcomes.

Ensure the provision of effective office and reception services as the school's main public front. Covering reception duties where required.

Keep office areas organised and paperwork and data filed appropriately, ensuring GDPR compliance.

Ensure front line enquiries from staff, students, parents and visitors are dealt with promptly.

Ensure all student records and documents are properly maintained, filed and manually/electronically transferred when a student is admitted and leaves.

Manage the School website and Parent Gateway.

Take minutes of meetings and publish them in a timely manner.

Oversee and produce the Staff, Student and Parent handbooks annually.

Complete and send out exclusion paperwork to relevant stakeholders.

Ensure that registers for Fire Evacuation are up to date and the Fire Evacuation Packs are given to staff when Fire Drills/Fire occurs.

Attendance and Exams

To ensure all registers are completed fully and accurately and to remind staff where necessary to complete registers to ensure all missing marks/absences are accounted for and entered into the system

Complete Admissions and Removal from Roll forms for West Sussex County Council.

Monitor and analyse attendance data daily on ISAMS to identify areas of concern and act accordingly to improve the figures.

Telephone parents/carers where appropriate in relation to attendance.

Complete data analysis and produce written reports for SLT

Support with the setting up and invigilating of exams where required.

Governance

Support the Senior Leadership Team to ensure that effective systems of Governance within the school are adhered to.

Support the Senior Leadership Team in managing the admissions arrangements.

Provide reprographics support for Governing Body Meetings including Health and Safety Meetings.

Ensure all policies are in place and updated, publishing them on the website where required.

Other responsibilities

Promote the School vision and ethos.

Carry out any such duties as may be reasonably required by the School

Support the Head of School at whole school staff, parent and community events.

To undertake supervision duties in accordance with the whole school duty rota.

Oversee and manage cover for the school daily, update the school diary and calendar.

Produce the whole school duty rota and update where required.

Support with the induction of new staff and complete checks on agency members of staff.

Provide support for external inspections, monitoring visits from the Local Authorities.
