Purpose of Role
Provide administrative support to the EU Real Estate Team on all property matters, specifically by management of the Property Database. The role holder will be the "super user" of the property database, responsible for data management, creation of periodic and adhoc reporting and training of new users.

Main Responsibilities

Maintain and update the property database (AMT) to ensure that the business has accurate lease and rent information to assist in the management of critical dates.

Super-user of the property database (AMT) - responsible for updating processes and user manuals, all team training, and providing support.

Maintain, update and distribute European Real Estate Report.

Arrange store inspections.

Creation of EU REC Documentation: Master Overviews, Presentation Decks, Agenda, Proforma, Meeting Minutes.

Organise lease and documentation for the EU to be signed by Directors.

Manage the Remote Storage Schedule - monitoring storage requirements and seeking necessary approvals.

Liaising with Landlords and Claire's Maintenance Team on Maintenance issues.

Sending Insurance documentation to landlords when required.

Scanning post and paperwork to electronic files for all countries in the EU.

Assist with French speaking Real Estate matters

Liaising with Local Authorities on statutory requirements relating to store closures, openings etc.

Essential Criteria

GCSE's (or equivalent) , including Maths (grades A-C)

Fluent in English and French speaking and written.

Experience:

Ideally the candidate will have experience of working in a Commercial property environment

Experience of creating and maintaining data

Demonstrable experience of working on own initiative, ability to prioritise tasks and working to tight deadlines.

Knowledge:

Database management and reporting.

Understanding of commercial property leases is desirable

Skills / Abilities:

High level of accuracy and attention to detail

Accurate spelling and grammar

Highly organised and methodical

Intermediate user of Microsoft Office packages, including Excel and Word

Effective team player with good interpersonal skills
