My client a leading trade association who provide a range of services to 1,000 member companies in 60 countries is currently looking for a Training Administrator to join their professional and dynamic team.
The Coordinator will have responsibility for the coordination and administration of a range of training and technical-related activities and projects, as directed by the Head of Learning & Development.
Responsibilities:
Training Coordination
Assume first point of contact responsibility for training enquires (all instructor-led training), produce quotations and manage the quotations log, together with all related administration
Coordinate the logistics (transportation, accommodation, visas etc.) for Training Specialist's deployment
Maintain the currency and accuracy of the training diary
Ensure that all Training Specialists are equipped to carry out effective training delivery to our members worldwide, including foreign currency orders via the Finance Manager and issue of job packs
Arranging classrooms and layout of materials for Training Specialists and students at our training centre for weekly courses
Arrange lunches and refreshment supplies for the training centre
Produce the training prospectus for UK and assist with the Dubai version
Identify, request and distribute course materials and ensure other training equipment/supplies are available and in working order for the efficient running of all relevant training events
Ensure that all documents are returned from training events and dealt with in accordance with our quality processes
Effective processing of instructor led training student evaluation forms and reporting accordingly
1Coordinate the effective and timely marking of assessment papers
Assist with other periodic reporting and metrics as required
Arrange cover from Administration Team when needed via Head of Business Services
Admin Support to the Technical Team
Provide administration support to the Technical team at the request of the Head of Technical Services
Send invites for technical meetings and working groups
Liaise with venues: bookings, lunches and AV equipment etc.
Supporting documents: disseminate for meetings (e.g. agenda, minutes, reports, discussions, drafts etc.)
Update technical committee name cards and mailing lists
Attend technical meetings and take minutes
Confirm/check attendance at meetings - registrations and apologies
Compile any incoming comments on drafts into a single sheet for discussion at the meeting
Establish and maintain a meetings folder archive, updated with documents for specific meetings and their subsequent minutes
Maintain close communications with the Technical Assistant to coordinate these activities
