Assistant Project Administrator

Permanent full-time position.

Hathern, North of Loughborough, Leicestershire.

From £18 000 pa depending on experience - 37.5 hours per week, Mon-Fri

We are looking for a proactive person to join our small, friendly and enthusiastic team, ensuring the Projects run smoothly and are completed to a high standard within the specified constraints of both time and cost.

The Role:

  • To liaise with and support the Senior Project Administrator and the Project Manager to ensure resources, skills and project controls are managed effectively, both in time and cost.
  • Create and update live project tracker documents.
  • Create Tenders, and follow them up using good telephone and inter-personal skills.
  • Convert Tenders won into Projects - including take offs and measures.
  • The ability to  read and amend drawings and layouts to extract the required information would be an advantage.
  • Place orders with the suppliers and reconcile with the deliveries, site by site.
  • Together with the Senior Project Administrator, produce monthly reconciliation reports of the orders and fitter’s invoices and liaise with the Office Manager in production of the monthly Payment Applications to the clients.
  • To liaise directly between the Snr PAd/PM and the suppliers to solve issues re deliveries/products/fitters etc as they arise.
  • Training will be provided for company specific procedures.

The Person:

  • Will have excellent organisational and administrative skills.
  • Will be self-motivated, confident, aware of when to be pro-active and also have strong written and oral communication skills.
  • Will fit well into our existing small, friendly Team.
  • Will have excellent Excel skills and be competent in Word, Outlook & Powerpoint
  • Will preferably have experience of working in design/construction including reading drawings and with using iMac.  
  • Will be provided with training to understand our internal processes and procedures.

Essential criteria:

  • Excellent Excel skills

To be organised, able to work under pressure and to deadlines.
