Project Services Executive

Full – Time position

6 month contract

Up to £20,000

Reporting to – Operations Manager Role

Provide project teams with a single point of contact for the operational needs of a project. Coordinate fieldwork & analysis/data processing, interacting effectively with both internal and external resources. Manage the data collection process to ensure delivery within time and budget constraints, without compromising quality. Continuously monitor efficiency and processes, readily suggesting improvements and be a visible representative of the Project Services team at all times.

Specific Responsibilities: Project Management

  • As a member of the project team, manage the process from project definition to deliverables using dedicated systems. Recommend the necessary changes to keep the project on track and within budget.
  • Definition of project responsibilities at set up
  • Commissioning  and management of resources/suppliers
  • Fieldwork logistics (venues, incentives, schedules)
  • Tracking completed interview materials, from fieldwork to processing/analysis and archiving

Project Budget Management

  • Provide final fieldwork costs for input to the Budget Definition Form
  • Input and update budget details on accounting systems (MIS).
  • Monitor fieldwork spend on projects and highlight any over expenditure to project leader
  • Check & approve supplier invoices and record to projects/cost centres
  • Monitor the financial status of projects using dedicated systems (MIS)

Supplier Management

  • Build a good knowledge of supplier network and resources available
  • Maintain good working relationships with external suppliers and be aware of strengths and weaknesses
  • Be aware of the need for resources to be shared across all projects, and that careful selection and flexibility are paramount
  • Readily gather and provide feedback to resources/suppliers to ensure consistent high standards of delivery

Operational Processes

  • Ensure that defined processes are followed and relevant practical records, which document the progress of the project, are kept fully up to date Project Knowledge/Understanding
  • Understand the project lifecycle and own role at each stage
  • Understand the requirements of different project methodologies and their impact on operational requirements
  • Understand the basic principles of coding, data processing, analysis and interpretation

Relationship Management

  • Liaise effectively with internal teams and with external network to ensure good working relationships
  • Strive for customer satisfaction with Project Services ’ internal customers
  • Be a visible member of the project team
