Purpose of role
This role is focused on ensuring correct charge out rates are added to the Elite system for fee earners/clients and matters. This role includes reviewing all panel terms, calculating rebates and reviewing and setting up secondment files. Part of the role is also focused on a number of on-going and future projects within the Revenue Control department at Dentons.
Responsibilities
Rates:
Working with the Accounting Systems Team to ensure all fee earners have the correct titles and standard rates set up.
Working with the Intapp NBI team and the DBSE in Warsaw to ensure all agreed client and matter rates are added to client and matter set ups for all UK and Middle East matters.
Reviewing panel terms so agreed rates for time and disbursements are recorded to Elite.
Liaising with partners to gather clarification if rates are unclear.
Monitoring and updating a master spreadsheet that has up to date panel rates and client agreed rates.Add the appropriate documents containing the rates and billing guidelines.
Panel Terms:
Reviewing all new client panel terms to ensure rates are added correctly and billing guidelines are followed.
Communicating these rates and guidelines to the appropriate people in Accounts and within the business.
Rebates:
Calculating and analysing client rebates.Sending the approved rebate to the client partner for approval and then on to the client.
Calculating accrued rebates for year end auditing.
Setting up and maintaining a master spreadsheet detailing all client rebate calculations.
Secondments:
Reviewing all secondment agreements, setting up files for time recording and arranging billing of the secondments at appropriate stages.
Temporary and uncompleted time projects:
Reviewing all open time for UK fee earners on Intapp Time and reducing the volume of these entries.
Chasing fee earners to review their open time and moving this time to the relevant files.
Encouraging fee earners to add further information to temporary entries where necessary so they are not missed when files are opened.
Ensuring temporarytime for fee earners who leave the business is captured at a later date when files are opened.
Revenue Projects:
Ad hoc involvement in ongoing and new UK and Middle East and Global projects that affect the UK and Middle East Revenue team.
Required experience, skills and attributes
Good knowledge and understanding of the working capital function of a law firm
Possesses the confidence to deal effectively with Partners and clients
Good interpersonal and communication skills, both written and verbal
Able to prioritise and multi-task particularly when working under pressure and to tight deadlines
Able to interact positively at all levels and a good team player
Methodical approach to work with a strong focus on accuracy
Hardworking and enthusiastic approach to work; professional in outlook, attitude and appearance
Confident using MS Office, including Word and Excel
Knowledge of the Elite accounts system, and of e-billing systems, would be an advantage
Basic knowledge of Solicitors' Accounts Rules, and VAT
Flexible and prepared to work additional hours at month, quarter and year ends to assist the Revenue team
Personal skills / attributes
Excellent written and verbal communication skills
Highly structured and organised individual, with good attention to detail, accuracy and quality
Able to interact positively at all levels within the firm and a good team player
Able to demonstrate good client/customer facing skills
Able to make decisions and remain calm while under pressure - particularly when dealing with difficult situations
Proactive with a "can-do" attitude in all areas, with a strong sense of self-motivation.
Understands the need for documentation and well-defined procedures.
