Facilities Assistant

Purpose of Job
To conduct a professional and comprehensive range of administrative and support tasks for the facilities department, thereby supporting the work of staff and facilitating the smooth running of the client's offices
Main Duties and Responsibilities
Prepare routine correspondence and monitor replies on behalf of the Facilities Manager.
To use appropriate office equipment, such as PCs, printers, franking machines, sorting machine, photocopying, fax machines and other equipment as and when required.
To ensure the offices, its equipment and other contents are kept tidy and in a good working condition and replenished where necessary.
Keeping records of all equipment and reporting faults to the relevant organisations promptly and where necessary arranging service and repair calls.
Manage minor moves; to move items of furniture and documents between the client's offices and centres this includes manual handling
To photocopy, sort and distribute bulk documents as required.
To assist in the franking of outgoing post daily. To assist in the collection of internal post daily or as and when required
To assist with the monitoring and maintaining of stores, including stock control, ordering and seeking payment authorisation.
Assist the facilities manager in keeping the client archives in order and collecting, delivering and storing documents as and when requested by staff.
To be responsible for purchasing stationery orders and other sundry items for staff use and the general tidiness of the offices and reception areas and ensuring notice boards etc. are kept up to date.
Repair and maintain basic repairs/items within the client's offices.
Assist officers with general administrative functions as directed by the Facilities Manager
To undertake occasional opening/closing of the client's buildings when required.
To work in a courteous and professional manner always; exercising discretion, sensitivity, and tact.
General
Perform other duties as may be reasonably required by your line manager.
Conduct yourself in line with the client policies, procedures, rules and standards.
