Personal Assistant - Immediate Start
Location: Dundee
Salary: GBP11.27
Temporary Role: 3 Months with option to extend for 3 months
Hours: 35 hours, Monday to Friday, 9am-5pm

Pertemps Dundee are recruiting on behalf of our client, a well know Public Sector organisation, for a Personal Assistant to take on a temporary assignment. The ideal candidate will provide an efficient and effective support service to the Executive Director of Strategy and Improvement.

Due to the nature of this role it is required for candidates to hold a Standard or Basic Disclosure certificate issued within the last 12 months or be willing to apply.

Your key duties will involve:
Working in the Executive and Corporate Support team providing confidential PA support to the Executive Director and their team
To provide a confidential tailored support service
Develop and administer a system for dealing with enquiries, recording, acknowledging receipt of and re-directing letters, monitoring progress of responses
Check and prioritise all correspondence and invitations
Manage and co-ordinate the Executive's diary, making appointments and arranging meetings, conference rooms, refreshments and hospitality for visitors as necessary
Make all conference/seminar/meeting and other visit arrangements; some travel arrangements, ensuring travel time between appointments and accommodation bookings
Preparation and circulations of agendas and paperwork for meetings as required
As required, compose responses to routine correspondence for the Executive Director's signature and deal with correspondence to the Executive Director
To be considered for this role, you must have the following:
Extensive secretarial/office experience
Experience of providing administrative support at senior level
Experience of preparing basic reports for submission to senior members of staff
Experience of interpreting the business conducted at meetings and providing accurate minutes to reflect discussion and decision
Ability to develop and produce correspondence and emails on behalf of the Director
Educated to Standard Grade level or equivalent, holding a relevant qualification in administration, and/or secretarial studies e.g HNC/D
Excellent verbal and written communication skills
Excellent IT skills and working knowledge of Microsoft Office Packages
Ability to meet deadlines
Excellent organisation, planning and decision making skills
Please note the role may require some travel and may involve some overnight stays and unsocialable hours.
