Description:

We have an opportunity for a Receptionist to join our Huddersfield office. This is a varied job that requires excellent attention to detail, great communication skills and someone who can prioritise workloads. Our team in Huddersfield comprises of around 100 employees from the architectural and building consultancy sides of our business as well as our business support teams.

Key Responsibilities

- Answer incoming telephone calls, screening all calls and taking messages where appropriate in a friendly and professional manner
- Greet staff and visitors to the office in a friendly and professional manner
- Maintain high standards, including keeping a tidy reception area, at all times
- Receive and sign for deliveries
- Maintain meeting room bookings
- Communicate regularly with the Office Manager to ensure arrangements for meetings are actioned
- Sort project paperwork (in line with filing procedures and instruction from Team Secretary, Office Manager or project staff) so it is ready to be filed by the Administration Assistant
- Process all incoming and outgoing post, including opening, date stamping, franking and distributing to staff pigeon holes
- Order and maintain office supplies and stationery
- Seek regular feedback from callers and visitors in conjunction with Office Manager and implement agreed improvements
- Assist with any other administration-related work or tasks as and when requested to do so by the Office Manager

Skills & Experience Required

- Previous reception experience preferably in a busy office
- Fully conversant with Microsoft Office packages, in particular Word, Excel and Outlook
- Good standard of typing skills
- Excellent customer service skills
- Polite and friendly telephone manner
- Able to work on own initiative without supervision
- Positive and proactive approach to team working
- Excellent planning and organisation skills with the ability and willingness to take responsibility for planning and prioritising own workload
- Able to work calmly and with attention to detail under pressure
- Able to multi-task
- Able to communicate effectively
