Located in North West, near Liverpool, we are currently working in conjunction with a highly regarded and growing Catering and events company. Due to continued growth they are now looking to increase the size of the existing team with the appointment of an Events Coordinator.

The role will primarily involve handling the client and event planning following confirmation of a booking with the company. You will be expected to plan your events in advance, in line with the 8 week planning process, and will be responsible for ensuring your event is delivered in line with the expected profit margins.

Broken down into the following areas:

Planning

* Check the handed over proposal from sales to ensure it is a viable event

* Liaise with the client to arrange a tasting where necessary

* Finalise all event details with the client

* Produce detailed manager/chef sheets using supporting software

* Adopt events at week 8 and engage with clients for final details

* Prepare all events for run through

* Obtain quotes for hire equipment and staffing for your events

* Work with the chef to obtain food costs and chef labour for your events

* Prepare costing sheets for each event production meeting

Coordination & Confirmation

* Confirm all your hire, staffing and orders for each event

* Ensure final sign off event details with client

* Arrange site visits as part of your final planning, introduce specific event coordinator if not yourself on the day

* Ensure the venue / site / home is safe and suitably equipped for the event.

* Ensure risk assessments are carried out

* Liaise with logistics team to ensure the packing is correct

* Liaise with suppliers to confirm delivery times

Execution

* Oversee set up of the event on the day or day(s) prior

* Manage and brief your team of staff and delegate responsibilities

* Ensure food monitoring takes place in the absence of a chef team

* Oversee the dismantling and removal of the event and clear the venue efficiently

* Make sure that insurance, legal, health and safety obligations are followed

* Complete follow up report/sign off from client and feedback at production meeting

Within the role you will invariably work alongside the existing Business Development Manager with any new venues to help build and cement relationships.
