11306 - Receptionist Job Spec
Location: Leicester

Summary
Our Client, a growing and highly successful wholesale & distribution firm based in Leicester, are seeking a Receptionist to join their team on a full-time permanent basis.

The Receptionist is the "Face" of the Company at their Head Office. Therefore, the successful candidate will be responsible for setting the standard of how the Company presents themselves to customers / partners when visiting Head Office.

The successful candidate would ensure basic administration tasks are carried our diligently, efficiently and professionally, and that administrative processes are effective / fit for purpose. Answering directly to the Director of Finance, you will ensure that the reception area is smart, clean and tidy and that all visitors are received into the Company in the most professional manner possible.


Primary Responsibilities
*Receive all guests in a polite, courteous manner, ensuring they sign into the building,
*Collect, send & receive, record and distribute all mail as it arrives,
*Receive, record & distribute all samples which arrive by courier or any other means,
*Answer all calls and direct the caller to the most appropriate team member,
*Control the company stationary orders,
*Produce welcome packs for new employees,
*Book hire cars/flights and trains for staff as required,
*Maintain & update several spreadsheets,
*Other duties of a general administrative nature as directed by the COO,
*Set up the boardroom for meetings & conferences.

Secondary Responsibilities
*Fill all printers with paper at the beginning, middle and end of each day.
*Provide suitable hot drinks to visitors.
*Control the purchase of cleaning products.
*Control and administer the company tea/coffee supplies.
*Assist with the delivery of staff events and functions.
*Control the allocation of car park spaces.

Reporting to: Director of Finance


Requirements
*Qualifications required: GCSE English & Maths
*Systems: MS Word, MS Excel, MS PowerPoint, MS Outlook
*Notice: ideally someone available ASAP but the Client would wait for the right candidate.
*Be capable of taking complex instructions, carrying these out to a high standard and making decisions in a timely manner.
*A self-starter & proactive, capable of acting independently and be confident in asking for guidance when required.
*Fluent in written & spoken English. Must be articulate & capable of communicating across the whole spectrum of staff from the MDs to agency staff.
*Must be able to use own initiative to gain a business advantage.
