Bookkeeper/Office Administrator - Rugby
Monday - Friday - 4 hours per day
(Flexible to 20 - 27 hours per week for the right candidate)
Summary
Reporting to the Managing Director
- The Bookkeeper/Office Administrator is responsible for all aspects of financial administration, bookkeeping (to include purchase and sales ledgers) ,raising purchase orders for equipment, parts & materials.
- Working closely with the production, service and sales teams.
Specific tasks
Bookkeeping & Accounts Administration
- To ensure the processing and maintenance of both sales and purchase ledgers.
- To keep accurate and up to date records and filing of receipts, staff expenses claims and sales invoices.
- To ensure sales invoices are raised accurately and in a timely manner and to ensure the prompt receipt of payments from customers.
- To promptly deal with any sales or purchase invoice queries from customers and ensure prompt resolution of any disputes.
- To maintain an accurate daily cash flow forecast reconciled against bank statements and provide management with notification regarding necessary payments.
- To liaise with the company accountant to ensure day to day accounts records are accurately maintained.
- To work with the management and the company accountants in maintaining records and submissions for VAT, PAYE and other similar aspects of accounts.
- To provide reports and other management information as and when requested.
Purchasing
- Responsible for the issue of purchase orders as requested/initiated by the operations and production teams, actively pursuing progress and fulfilment of outstanding purchase orders and ensuring parts and materials are received in a timely manner.
- Communication with suppliers relating to shortages or damage to supplies and to manage the progress of such cases. To check and verify the accuracy of supplier invoices relative to purchase orders and to manage the approvals process for suppliers.
- To assist with other general commercial tasks as required from time to time in support of sales and operational aspects of the business.
