A boutique Funds Investment Company is looking to hire a new EA/Office Manager to work with Partners and Senior Stakeholders on a permanent basis. Responsibilities will include diary management, document production, booking flights, arranging and/or hosting social events in and out of the office, research, writing itineraries, administrative tasks to managing relationships with suppliers and conducting onboarding for new hires. The successful candidate will be the point of contact for the Office and Facilities Management staff and will ensure that all office services are provided appropriately, including mail and print room services, meeting room and catering services and security access control; additionally, you will be the primary contact for external vendors and suppliers including ensuring their timely payment, you will be responsible for arranging internal and external meetings, including ensuring that meeting rooms are set up with writing materials, refreshments, relevant audio / visual equipment, ensuring minutes are taken and managing logistics and accommodation for local and international attendees. Other duties will include providing administrative support to senior team members, including arranging payment of invoices and expenses, printing research, pitch materials and other documents, maintaining the office environment and be in charge of office health and safety, including serving as the Fire Marshal and alarm key holder and ensuring that all operational services comply with local regulatory requirements; your responsibilities will also extend to monitoring office supplies such as stationery and overseeing the purchase and repair of office equipment such as printers and furniture - additionally coordinating and scheduling recruitment interviews and assist the team with new hire onboarding processes such as induction training and IT and desk set up; you will also be responsible for internal HR matters including providing payroll, maintaining personnel files, absence management and leaver processes. Candidates must be degree educated with a minimum of 3 years' experience working as a Legal PA/EA in addition to having the ability to work autonomously with strong written, communication and organisational skills and advanced Microsoft Office Skills. Standard hours are 9.00am - 6.00pm
