Pertemps Specialist Division are working with one of our public sector clients to recruit an experienced Personal Assistant to join their busy Edinburgh. The successful candidate will be reporting directly into the Chief Digital Officer, and will be responsible for the following:
Answering phones and routing calls to the correct person or taking messages.
Filing and retrieving corporate records, documents, and reports.
Preparing documents for review and presentation for Chief Digital Officer at boards, committees and meetings.
Helping prepare for meetings.
Accurately recording minutes from meetings.
Greeting visitors and excellent communication and engagement skills.
Using various software, including word processing, spreadsheets, databases, and presentation software.
Reading and analysing incoming memos, e-mails and distributing them as required
Making travel arrangements
Performing office duties that include ordering supplies
Dealing with incoming emails and correspondence.
Provide general administrative support.
Essential Criteria:
Proven experience as a personal assistant.
In-depth understanding of entire MS Office suite.
Ability to organise a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.
A proactive approach to problem-solving with strong decision-making skills.
Professional level verbal and written communications skills.
This is a full-time position, lasting an initial 3 months, and paying a day rate of up to GBP150 per day.
