Main Purpose of the Job:
To provide an efficient and effective service in all buildings, promoting the security of all buildings and equipment through the Service Level Agreement.
To provide an effective & courteous dispatch service to all customers.
Key Relationships:
Reporting to FM Building Services Managers.
Working with Facilities Management.
Vertas Managers and staff.
Internal and External Customers.
Contractors.
Main Activities and Responsibilities:
Building Support
To provide a porterage service to building occupants and respond to any ad hoc helpdesk requests.
To respond promptly to any requests passed on via the helpdesk when contacted and ensure the job is signed off via the FM Facts helpdesk system.
To undertake regular H&S checks/monitoring.
To escort contractors following all H&S/security procedures.
To undertake minor repairs and maintenance and ensure they are carried out under the current Health & Safety Regulations.
Post Sorting & Deliveries
Ensuring the secure dispatch of all incoming and outgoing documents to internal and external organisations such as Royal Mail and our internal courier system.
Sorting and delivering post daily, both internal and external.
Dealing with the operational requirements of each of the operating directorates, ensuring the completion of set courier routes/collections.
Ensure pigeonholes and delivery/sorting areas are clearly identified and that all mail box items are correct placed into the appropriate area.
Log and record departments mail.
Security Duties
To be responsible for opening and locking all contracted buildings per service level in place.
To check all buildings for any signs of damage and report any problems as appropriate.
Respond appropriately to any alarm problems.
Conference Support
To provide effective support to all groups that hire meeting and conference rooms. You will be responsible for confirming requirements with the hirers and ensuring that all rooms are set up as required with adequate equipment e.g. controls/flipcharts/pens.
Set up Video Conferencing equipment and support users.
Provide support with audio visual equipment if required.
Responsible for monitoring car parking arrangements for visitors and ensure that car park spaces are managed correctly.
Stock Control
To ensure that all stocks i.e stationary/paper/toners/replenishments and other consumables are maintained at a sufficient level.
To regularly check equipment, that it is fit for purpose and available for customers.
Reception Cover
Cover reception for late meetings and staff absence.
Level of Autonomy and Decision Making
To ensure that all customers receive a supportive and efficient service.
To provide a proactive security/alarm service at all times following Vertas procedures.
To complete training in use of the Video Conferencing/audio visual equipment and booking system.
To complete appropriate training to carry out your daily work to health and safety standards and quality assurance.

Additional duties
You will be required to undertake shifts rotating each week and will be required to do split shifts to cover sickness and holidays.
You are required to undertake the 24/7 standby and callout on a rota basis and respond within Vertas timescales.
Weekend work on a rota basis to assist with weddings & contractors on sites. To include any maintenance required and any ad hoc requests.
You will also be required to provide cover for absence of your colleagues at any other site.
