PA / Office Manager / Marketing Manager

£30,000 pa subject to experience

Grant Mills Wood is a dynamic firm of Chartered Surveyors and Property Consultants, based on Regent Street. Seeking a PA / Office Manager / Marketing Manager to work with their friendly and motivated team to include general administrative support across the office.

The successful candidate would be required to act in an office management capacity including the day to day running of the office along with secretarial, administrative, IT and marketing support to the professional and agency teams in a friendly professional office. The role requires strong organisational and communication skills, and the candidate must be a good team player with excellent attention to detail. 

The candidate will need a good typing speed and be familiar with word, excel and outlook as well as the ability to manage the company’s website, databases and social media.

The ideal candidate will be capable of working in a busy environment and having to work with a team who spend some of their time out of the office. They should also be able to provide a high level of service to, and establish rapport with clients, and colleagues for the benefit of the team and office environment.

Core Responsibilities:

  • The smooth running of the office.
  • Act as a central point of contact, ensuring efficient liaison between team, manager and clients/ colleagues/ personal contacts etc.
  • Assisting with website updates, social media and database updates including general marketing.
  • Managing a web-based agency database and updating the website property search.
  • Diary Management (Outlook) / Coordinating meetings & booking meeting rooms / conference calls.
  • File and Database management, archiving, conflict of interest checks and ad-hoc duties.
  • Audio typing, formatting of correspondence and reports/proofs of evidence.
  • Creating regular invoicing and debtors through Xero software (training can be provided).
  • Accurate message taking for the team and managing/filtering telephone calls.
  • Undertake voluntary or nominated duties in order to ensure the smooth flow of work.

Core Skills:

  • Excellent communication and inter-personal skills (professional but friendly).
  • Proactive self-starter with a willingness to learn and develop new skills.
  • Able to multi-task and manage changing priorities efficiently whilst meeting deadlines.
  • Excellent software skills, in particular, Microsoft Word, Outlook and Excel.
  • Efficient and Pro-active.
  • Hands-on approach with a professional but friendly manner.
  • A good team player but also able to work on their own initiative
  • Experience within the property or legal sectors is preferable but not essential.
