The role

We're looking for an outstandingly organised administrator to take on this busy role supporting some of our senior leaders and teams across some of our busiest departments

Your main priority will be providing PA and administrative support to four business heads and their teams across operations and underwriting. You'll be in demand so the ability to stay calm under pressure and prioritise is essential. You'll love being busy and change your hat depending on the day, being adaptable and be disciplined to prioritise your workload is key.

The support you'll provide will be broad including diary management, lots of travel coordination, event planning, minute taking at meetings, producing confidential reports and other ad hoc administrative support

You'll be fundamental to supporting the teams operationally day to day so you'll thrive on accountability and responsibility

What you'll be doing:

Extensive diary management and meeting scheduling (both internal and external), as well as ad hoc meeting assistance for the wider teams
Booking boardrooms and arranging catering and IT equipment for meetings and presentations, as well as setting up conference calls and video conferences internationally
Arranging extensive international travel for the leaders you support, with ad hoc requests from the wider teams in addition
Processing expenses for the leaders you support, as well as invoice and expense authorisation for the wider teams
Preparing agendas and documents for departmental meetings, and occasional minute taking
Extensive reporting for the teams, including regulatory reporting when required
Providing occasional support in respect senior level meetings
Providing holiday and absence cover
Administration of letters
Database managementOur must haves:

Proven track record in a PA or team secretarial role within financial services or another fast paced environment
Excellent organisational and interpersonal skills, with the ability to effectively multi-task and prioritise workloads
Strong time management skills
Advanced Outlook &Word as well as intermediate Excel and PowerPoint skillsOur nice to haves:

Education to A Level or Degree standard or equivalent experience
Good working knowledge of the Tandberg VC system
Strong secretarial and typing skills accuracy and attention to detail is valued more than speed Diversity and flexible working at Hiscox
