Management Accountant

Responsible to: Finance Bursar

The Finance Department

Comprises the Finance Bursar, Management Accountant, Fees Administrator (part time), a Purchase Ledger Clerk, two Commercial Accountants (one part time), the Payroll Manager and Payroll Assistant (part time). The Finance Bursar reports to the Director of Finance and Strategy. The purpose of the Department is to prepare and manage all finance, financial reporting, accounting and investments for the School, Charterhouse Enterprises Limited, Charterhouse Club Limited, Charterhouse Design and Build Limited, Charterhouse School International Limited and the Carthusian Trust.

Basic Purpose of the Job - The Management Accountant

To ensure that the School’s management accounts and supporting schedules are prepared in a timely and accurate manner, in keeping with current financial standards. To control the nominal ledger and ensure bookings comply with current accounting and tax practice. To prepare nominal ledger control schedules at month and year end. To be the primary contact/ business partner for the Estates department and the Operations department. To control and book credit cards. To assist booking invoices in the sales and purchase ledger systems when required.

Main Duties:

School

  • Preparation of monthly management accounts and supporting schedules with Sage 200 to deadline
  • Support of the project/job costing system, preparation of analysis and liaison with the Estates department
  • Nominal ledger review, housekeeping and analysis ensuring nominal ledger data entry is consistent and accurate
  • Preparation and input of monthly accruals and prepayment journals
  • Monthly control schedule completion for purchase and sales ledger
  • Monthly intercompany reconciliation preparation
  • Managing the school credit cards and book journals monthly to the nominal ledger
  • Assist in the quarterly VAT return preparation and submission
  • Business partnering to the Estates and Operations departments
  • The Management Accountant must provide support to the Finance team in particular to the Purchase Ledger Clerk and the Fees Administrator. This will require checking key documents prior to processing
  • At peak times and when required input purchase ledger or sales ledger invoices and journals
  • Monitor the suspense account and ensure its balance is nil at term end
  • Assistance with the project to move invoice and expense authorisation and budget requests online
  • Assistance for teaching staff and others with the financial administration for any projects for example charitable events
  • Financial management of leases
  • Sage system administration including budget viewer
  • Sicon WAP system administration
  • Prepare and submit all National Statistics office returns
  • Assisting the Finance Bursar with the annual accounts and audit schedules
  • Any further reasonable request as required

Supervisory and Managerial Responsibilities

Line Management of the Purchase Ledger Clerk

Other Responsibilities: money, equipment, materials etc.

Knowledge and Skills Required (to be effective)

Relevant Experience / Knowledge & Technical Competencies

Essential

  • Experience in the production of financial statements and management accounts
  • Experience of Purchase Ledger, Nominal Ledger, Sales Ledger, Bank Reconciliations
  • Use of SAGE 200
  • Experience of accounting for VAT and VAT returns
  • Experience of external audit

Desirable

  • Knowledge of VAT partial schemes
  • familiarity of SAGE Line 50
  • Experience of working in a school or educational environment
  • Experience of implementing new systems / online systems

Qualifications

Essential

  • Qualified accountant (ACCA/ACA/CIMA)
  • Would consider an experienced AAT qualified accountant

Essential

  • An ability to plan, organize, manage and prioritise own workload, recognizing the fluctuation in workload throughout the School year and responding accordingly
  • Strong interpersonal skills with an ability to work with a wide range of stakeholders, including parents, teachers and other agencies that engage in financial transactions
  • The Management Accountant must be enthusiastic, well-motivated and target orientated
  • Able to work extended hours on occasion as needed.

Special Working Conditions

The post of Management Accountant is a full time, all year round post, 37.5 per week (usually 09.00 - 17.30 Monday to Friday, with an hour unpaid for lunch). The financial year-end is 31 July, so the post-holder must be capable of meeting working requirements during August and September, in order to prepare the necessary papers for the annual audit, which takes place in mid-September.

The Job Holder’s responsibility for promoting and safeguarding the welfare of children and young persons for whom they are responsible, or with whom they come into contact, will be to adhere to and ensure compliance with the School’s Safeguarding Policy at all times. If, in the course of carrying out the duties of the post, the Job Holder becomes aware of any actual or potential risks to the safety or welfare of children in the School they must report any concerns to the School’s Designated Safeguarding Lead.

Notice: Four weeks during probationary period (which is normally six months). Once the appointment is confirmed both parties are required to give at least six week’s notice.
