Department/role overview

As Bid Coordinator, you will be responsible for providing support for the end-to-end bid process. An integral part of the global bid team, you will support the administrative and coordination tasks of bids throughout the process to support bid excellence and contribute to helping the firm grow through new and existing business wins.

From creating the bid folders and response template, you will be tasked with supporting all project coordination tasks during the bid process. The Bid Coordinator will report to the Bid & Pursuits Manager and work closely with the Head of Bids and will be an integral member of the Global Bid Team and wider business development function.

Main responsibilities

Assist Bid and BD team members in the creation of central bid project folders and response document templates in line with individual client requirements
Coordinate the bid process, supporting on tasks such as collating CVs and experience, formatting written proposals, incorporating fee-earner amends and proofreading
Complete administrative tasks such as scheduling kick off and value proposition sessions, booking rooms as well as liaising with Practice Executives for diary management of key stakeholders
Monitor and promote bid best practice regarding bid project folder usage and naming conventions
Support bid process regarding all internal compliance and approval stages including engaging with the compliance and risk team
Support the development of bid responses with general information and relevant content
Support the Head of Bids to deliver all bid activity and reporting globally
Produce bid client research, stakeholder briefings and reports to support major complex bids
Create graphical elements for written proposals, such as team charts and solution diagrams
Provide support on using the firm's preferred Bid technology for the creation and delivery of bids
Support the ongoing maintenance of the firm's base/boilerplate pitch content library and content management strategy
Actively monitor tender portals and incoming tender requests
Monitor usage of the firm's bid technology and bid reporting database system to spot data gaps
Monitor usage of central Bid folders and filing structures globally
Analyse data to report on win rates, activity and trends
Monitor upcoming tender pipeline, including panel review dates for Priority Clients

Risk and control: ensure all activities and duties are carried out in full compliance with our regulatory requirements and internal policies

Essential skills and experience

Excellent attention to detail and the ability to engage with stakeholders from around the world.
Excellent organisational abilities. Experience of overseeing a bid library and/or pitch automation system, and co-ordinating inputs from multiple stakeholders (including technical subject matter experts as well as business development teams)
Team player, with a strong service ethic and a desire to add value to the firm by improving the quality and usability of bid content
Competent user of the Microsoft Office suite, including advanced Word and PowerPoint skills
Writing capability. Experience of writing, in either a legal, professional services or other relevant environment, or experience of producing content for proposals.

Keen eye for detail and design, able to improve the visual impact and aesthetic properties of proposal materials
Qualified to degree level or equivalent (preferably English or other arts/humanities degree)

Desirable skills and experience

Experience of bid coordination and the bid process
An understanding of legal practices, products and the legal competitive landscape, gained from previous experience within the legal sector
Experience of having worked in the professional services sector, a partnership or other complex, global environment
An understanding of different bid cultures and customers, with bid writing experience across geographies and to a variety of customers (e.g. government, financial services, banks, funds, corporates)
