Senior Lettings Administrator
As a reputable and busy student lettings office based in Sheffield, we provide quality modern accommodation for students of The University of Sheffield and Sheffield Hallam University. A full time vacancy has now arisen for a Property Management/Lettings Assistant working 5 days (Monday - Friday) each week, with weekend work as and when required.
The position calls for excellent administration and communication skills, an ability to prioritise your work and remain calm under pressure. As you will generally be working with clients/tenants who are students in their late teens and early twenties, the ability to engage with and relate to this age group is essential. You must be enthusiastic, have a great sense of humour, and be able to apply common sense and discretion at all times.
Previous Lettings/Property Industry experience would be a distinct advantage, as will experience of using the 10ninety software system.
Duties & Responsibilities:
* Advertising, marketing and promoting all available properties.
* Diary management, arranging viewings of property and accompanying potential tenants on viewing appointments.
* Preparing and arranging the completion of the Tenancy Agreements and all other documentation which is necessary.
* Mid-tenancy property inspections including photographs as necessary to ensure that the tenants are fulfilling their obligations under the terms of their tenancy, focusing on cleanliness and recommendations for future improvements.
* Inductions for Tenants moving in.
* Creation and maintenance of property files, including relevant energy efficiency and safety certificates, utility records and council tax exemption certificates etc.
* Register warranties for all new appliances and creation of records for each new and existing property.
* Collection of Rents including Administration Fees, Advance Rental Payments, Check-Out Fees etc.
* Pursue any rent arrears or bounced /unpaid cheques by telephone and/or letters and/or e-mail.
* Preparation and collection of Repair / Maintenance / Breach of Tenancy etc. Invoices.
* Maintenance logging and liaison with our maintenance team with respect to any works or repairs required.
* Preparing all documentation and arranging final tenancy-end inspections.
* Office administration, improving filing procedures, letter writing and e-mailing.
* Any other duties which may be required in connection with the day to day running of the business
