Are you an experienced Legal Secretary looking for a new challenge?

Jazz Personnel have an exciting opportunity for an experienced Legal Secretary to join our client, an established, specialist family law firm based in Newcastle.

Duties to include, but not limited to:

* Receive and sort incoming mail

* Collect and deliver DX mail

* Attend Post Office to process outgoing mail

* Greet clients and visitors, prepare refreshments

* Take card payments from clients

* Type and prepare correspondence and documents using the Company's case management software and digital dictation system

* Arrange meetings, book conference rooms and manage fee-earners' electronic diaries

* Receive and direct telephone calls, take messages and pass on in a timely manner

* Respond to client queries in a helpful and courteous manner ensuring the client experiences the highest quality of service possible

* Ensure confidentiality of all the firm's and clients' documentation and information

* File management including daily filing, opening, closing, storage and retrieval of client files

* Updating and maintaining client information on internal database

* Organise travel arrangements, book and confirm reservations

* Prepare mail and enclosures for despatch

* Request cheques, bank transfers and pay in cheques received

* Photocopying, printing and other administration duties

* Ensure tidy work area at all times

The successful candidate will have the following skills:

* Audio typing to a high standard

* Excellent interpersonal skills and the ability to effectively communicate with those at all levels

* Computer literate, including proficiency in MS Office, word and excel

* Able to maintain a high level of presentation and accuracy

* Enthusiastic and hardworking

* Strong organisational skills and keen to learn

* Able to integrate well into a team

* Able to keep track of key dates

* Flexible with ability to work under pressure, to use own initiative and prioritise workload effectively
