Bid Writer/ Proposal Co-ordinator - Ringwood

My client are a multi-disciplinary practice with four offices across Southern England working in a wide range of sectors. They were recently listed in the top 61 Consultants by Building Magazine 2018. In the last few years they have witnessed rapid expansion across the South East and consequently are looking to recruit a Bid Writer/Proposal Co-ordinator to support their growing team of Architects and Surveyors.

Hours: 9.00am - 5.30pm, 37.5 hours per week

Start Date: As soon as possible

Duration: Permanent

Holidays: 25 days per annum + public and bank holidays

Work Location: The role is based in Ringwood, although the following duties will also extend to their Teddington Office and from time to time there may be a requirement to visit Teddington to perform the duties effectively. There is an aspiration to further expand across the South East over the next five years.

The successful candidate will have an interesting and varied workload which will include;

- monitoring tender portals for potential projects including downloading documents for distribution

- completion of PQQ and ITT documentation including creating new text and adapting text from their response library

- proof reading and formatting information produced by others for tenders

- co-ordination of large scale bid programme for proposals prepared on behalf of their academy clients to gain funding from the Condition Improvement Fund and other government focused funding initiatives. Tasks will involve dealing directly with their academy clients to request required information; monitoring status of proposals; responding to client queries and aiding their teams in the preparation of the proposals.

- collation of project information from staff in order to prepare and update material needed to support the bidding process including CVs, project record sheets

- research in order to support marketing initiatives

- maintaining fee bid list for analysis purposes

- maintaining marketing calendar to trigger press releases, website/intranet updates, project sheets etc

- event organisation

- market research

- preparation of presentations, capability statements, newsletters and other marketing material

- organisation of project photography

The candidate must have;

- previous experience within the construction industry essential, preferably in a bid writing/ submission preparation role

- strong interpersonal skills and ability to work with and gather information from a range of staff at all levels

- strong IT skills with good working knowledge of Adobe InDesign or equivalent desktop publishing software

- excellent personal time management skills and ability to manage others when working to critical deadlines

- organised and methodical approach to all duties

- excellent attention to detail and accuracy - particularly in proof reading skills

- excellent oral and written communication skills

- ability to act on own initiative and be proactive

- flexibility in performing duties

- ability to act with discretion at all times appropriate to the information being handled

- general flexibility of attitude required for a busy office environment

- knowledge of social media platforms would be desirable but is not essential
