Operations Administrator & Manager

We are a London based fast-growing travel company looking for a self-motivated Operations Administrator speaking in both Chinese and English.

Job purpose

To provide administrative support for bespoke cultural, business meeting and educational tours in the UK, for high profile VIPs, government officials, Business professionals, families, school, college and university groups.

Main Responsibilities:


*Provide a helpful, friendly and efficient administrative support to the sales team based both in China and the UK, being the liaison between them and suppliers.

*Research and source new suppliers.

*Negotiate rates and contracts with hotels, attractions and transport suppliers.

*Keep suppliers information and pricing up to date in our system. Update emergency numbers for all suppliers.

*Provide accurate itinerary arrangements and pricing within required time-lines.
*Accurately book flights, accommodation, transfers, tours, attraction tickets, guides as required.
*Once a tour is confirmed, maintain regular contact with the suppliers. Make any changes/cancellations that are required, resolving any issues that arise efficiently and professionally. Check with the sales team if there are any special requirements for the group and confirm with relevant suppliers.
*Reconfirm services with suppliers including pick up dates and times with every coach supplier before departure, also visits and restaurant bookings, especially when these are not standard or if they are taking place out of office hours.
*Resolve problems related to suppliers efficiently and professionally.
*Develop product knowledge, attending familiarisation trips and undergoing product training. Make inspection visits. Research new destinations, accommodations, and visits.
*Attend trade fairs and sourcing new suppliers.
*Ensure payments are made to suppliers on time.

Experience
*Experience in an operations position within a fast-paced sales environment in the Travel Industry
*Excellent verbal and written communication skills in English & Chinese. Excellent literacy and numeracy
*Competency in Microsoft Office
*Helpful, supportive and friendly team player
*Driven to exceed targets

Working hours & package:

For Operations Administrator a Monday - Friday (office hours) role, paying GBP20,000 - GBP25,000 + Bonus depending on experience.

For Operations Manager GBP25,000 -GBP30,000 + Bonus depending on experience.
