Our client is currently looking for a Legal Assistant to support their Commercial Property team by providing secretarial and administrative support. Also, to undertake some fee-earning work with special emphasis on drafting straightforward legal documents and proactively assisting clients with a view to gaining clients trust and to taking on basic, repeat instructions from clients direct.

Key Duties:

?? Accurately create and input documents from digital dictation onto the case management system, checking with the Legal Advisors on any unclear details and ensuring that the document is properly constructed and accurately conveys his/her meaning.
?? Manage workload effectively and methodically, ensuring deadlines are met.
?? Draft straightforward legal documents using the precedents provided, filing documents online where appropriate and develop skills to deal with more complex transactions.
?? Open files, prepare and send initial client care letters.
?? Review client ID documents and prepare Money Laundering Undertaking.
?? Ensure all email correspondence is entered on to the case management system.
?? Ensure all photocopying is accurate; take responsibility for checking photocopying done by Office Assistant.
?? Ensure all post is checked and subsequently signed by the Legal Advisors and that it is ready for collection by the nominated time.
?? Deal accurately and promptly with the filing of all correspondence and documentation.
?? Assist the Legal Advisors with any aspect of file management, as requested.
?? Prepare files for archiving and complete deletion forms promptly.
?? Attend to clients on the phone and in person, accurately recording any messages
and passing on to the appropriate person without delay.
?? Schedule appointments, arrange meetings, and maintain up-to-date diaries using the
appropriate diary function, if requested.
?? Ensure the confidentiality and security of all practice and client documentation and/or
?? Undertake any additional duties which from time to time may be requested.

The ideal candidate may be a law graduate or hold an equivalent legal qualification, or may be an experienced Legal Secretary who has previous experience gained working within a commercial property team.

Additional skills:

?? Excellent IT skills including Microsoft Office, Outlook, and database administration.
?? Strong organisational and administration skills with ability to set up systems to streamline repeat work.
?? Confident and professional telephone manner.
?? Ability to produce documentation for repeat transactions with minimal client input.
