Purose of the role-

To carry out secretarial, administrative and recruitment support activities on behalf of operational and support staff. And supporting the company by organising and co-ordinating a quality payroll and Support Services function, ensuring internal operations procedures are delivered in an efficient and timely manner. Consistently ensuring organisational effectiveness and efficiency at all times.

Responsibilities:

  • General secretarial and administrative support for operational staff and all divisions
  • Active day to day involvement in fulfilling office procedure requirements
  • Maintain and update divisional database on a regular basis
  • Type proposals, reports, letters and CV's as requested by Manager or divisions
  • Cover receptionist as required in their absence (absence/holidays)
  • Cover other team members duties as required in their absence
  • As and when required process Temporary payroll and all related admin tasks
  • Maintain all filing systems to an acceptable standard
  • All requested ad hoc administrative duties - credit checking, presentations, reports

Payroll Support

  • Be responsible for all payroll activities, tasks and support provided to the Divisions, and associated payroll queries. Delegating within the team where appropriate
  • Reduce divisional complaints by ensuring the customer service provided to all internal/external clients and candidates is first class
  • Maintain all payroll filing systems to company standard
  • Any Ad Hoc duties in support of the divisions and their sales activities as agreed with your manager
  • Maintain and update divisional database on a regular basis and keep accurate and confidential team records
  • Support Payroll Assistants with all related admin tasks for Search Associates within the required timescales
  • Cover reception as required during times of absence and holidays
  • Identify areas for process improvement communicate suggestions to Office Manager

Reports

  • Producing Management reports to deadlines & carry out confidential tasks
