Business Support Administrator
Job Description
Hours 15 per week
Salary £6,882 (actual)
Job Purpose
To provide a wide range of financial and administrative support to RCVS.
To support and maintain the back-office functions of RCVS, to deliver high quality, efficient and effective admin support to RCVS
Accountability
- The Business Support Administrator will be an employee of RCVS, a registered charity and company limited by guarantee
- The RCVS CEO will undertake line management.
- The Business Support Administrator will report regularly to the Management Committee of RCVS as required.
- The post holder will work closely with the Independent Living Services Operations Manager and Volunteer Hub Co-ordinator
Main Duties
- To undertake a range of financial support processes including maintaining the computerised financial system, processing of invoices, payroll and pension payments
- Processing and checking expenses / timesheets
- Monitor the organisations bank accounts and preparing month end reconciliation
- To assist with the end of year accounts
- To maintain personnel records as necessary
- To provide administrative support to job recruitment processes. (to include placing advertisements, obtaining references, changing job descriptions) as directed by the CEO
- To maintain and update RCVS databases as required
- To maintain and update RCVS website as directed by senior staff
- To support the development of systems and processes to meet operational needs and to ensure the high quality of information held.
- To support the organisation to manage premises and equipment
- To update policies as directed by the CEO and trustees, and update the policy file as necessary
- To support the CEO in the implementation of GDPR to ensure compliance with new regulations
- To provide administrative support to the organisation as directed and guided by senior staff, including reception duties, responding to enquiries
- To support the development of admin processes
- To involve the full participation of volunteers in the delivery of RCVS administrative support services
- To support and supervise volunteers as required
General
- To attend team meetings, personal supervision and other meetings as appropriate
- To carry out the duties of the post in a manner which is in keeping with the Values Statement of the CVS
