HEAD OF FINANCE AND ADMINISTRATION

JOB DESCRIPTION

REPORTING TO :   Directors

RESPONSIBLE FOR: 

  • Accounts Team
  • Financial Functions
  • Company Administration including I.T. and statutory requirements

PURPOSE OF ROLE:

  • Delivery of the business and administration function of the company, with overall responsibility of accounting efficiencies for sales and associated costs, through reporting, strategy and planning.
  • Senior advisor to the directors to assist decision making to enhance the health and wellbeing of the company 
  • To ensure statutory compliance
  • To support the directors with the process, legal, financial and administratively, for any changes in premises.

LIAISON WITH:

  • Auditors
  • Bank
  • HMRC
  • Customers and Suppliers
  • Any other third parties as appropriate

MAIN DUTIES AND TASKS:

  • Monthly Management Accounts Pack
    • Monthly accounts (fully reconciled and with comparisons to previous year)
    • Analysis of results by trading sectors (reconciled to accounts)
    • Accounts Forecasts
    • Cashflow Forecasts
    • Comparison to Budget
    • Accounting Ratios
    • KPIs
  • Financial Year End accounts for audit
  • Annual Budget and Forecasts
  • Continuous review, monitoring, improving and documenting of all accounts processes
  • Advise on improvements, best practice and develop efficiencies to improve profitability and assist in the smooth running of the business
  • Review of debts and customer account management
  • Oversee the processing of imports , Forex, deferment account etc. and ensuring compliance with HMRC on these matters
  • Oversee the cost calculations for imported goods, including uplift, and that it is accounted for correctly
  • Oversee the reconciling general ledger stock codes values  to stock valuation module, including  goods in transit
  • Manage, develop, and train the accounts team
  • Oversee the control of the Exchequer financial software
  • Oversee and develop the biometric clocking in system to maximise benefits
  • Oversee and assist in developing an integrated warehouse management system with the Exchequer financial software
  • Assist the directors and carry out tasks as required by them to acquire and “get up and running” larger premises  to meet the demands of the growing business
  • Prepare, supply, and administer,  personal tax , pension , trusts and ad hoc personal financial information for  the directors as requested by them and their accountants

POLICIES AND PROCEDURES:

  • Assist in reviewing , renewing and introducing policies to safeguard all aspects of the company

AUTHORITY LEVELS:

  • Directors ONLY to approve all payments and funds leaving the company
  • To deputise for directors in other aspects when required and to undertake any other reasonable task that may be required by the directors, from time to time
