PURPOSE OF THE ROLE: This role has a primary focus on attendance support and will be responsible for producing weekly and monthly absence reports, whilst maintaining, processing and updating employee records. The role will also liaise with supervisors and line managers, to provide guidance in relation to HR policies and statutory regulations.

CONTEXT OF THE ROLE: The role of the HR Assistant is located within the HR & Training department and holds responsibility for liaising with senior management and team leaders across the organisation to co-ordinate all activities directly related to their business requirements. This role will be the central point of contact for all attendance support issues across all organisational departments. In addition to this, the role will also support day to day administrative and operational tasks within the HR and Training team.

KEY ACCOUNTABILITIES:

1 Monitor and report sickness absence levels across the business identifying and tracking trends and recommending appropriate action in line with company policy.
2 Ensure line managers and supervisors are aware of and take appropriate action in response to attendance support issues. Ensuring that managers deal with issues in a timely manner in accordance with company policies & procedures, having due regard to potential Disability Discrimination issues.
3 Provide required analysis of all statistical absence data on a weekly and monthly basis using Power Bi.
4 Process and action return to work forms and statement of fitness for work.
5 Update employee absence records and file documentation, whilst maintaining the in-house reporting system (TMS).
6 Provide support, advice and guidance on absence and capability issues, in line with company policies and statutory regulations.
7 Liaise with occupational health department to ensure a consistent and compliant process is followed in relation to occupational health referrals.
8 To support general administrative duties across the HR & Training function as required.

KNOWLEDGE AND EXPERIENCE

A good understanding of employment law and HR best practice
A good understanding of software packages such as Microsoft
Experience engaging with multi layered organisations
Excellent communication and written skills
Excellent interpersonal skills

*This position will be 20 hours per week. Ideally it will be 09:30am - 13:30pm every day (this is subject to individuals flexibility).

it is GBP21,000 per annum (GBP11,351 pro rata), 20 hours per week
