Development and Membership Officer
American Museum & Gardens
The mission of the American Museum & Gardens is to educate, stimulate, and inspire its visitors in order to further the understanding of American history and culture.
The Museum carries out this mission through the presentation of its historic rooms, its decorative art and folk art collections, and its special exhibitions, publications, learning programmes, and gardens.
Our organisation is the only one of its kind outside the boundaries of the United States. We welcome, on average, 40,000 visitors a year, the vast majority of them British.
The Development & Membership Officer, a new position, will provide support to the Director, Development Consultant, and trustees and serve as the central administrative staff member within the Museum.
Key Responsibilities
- Oversee the membership scheme and other individual giving programmes
- Prepare quarterly board papers for the trustees and take minutes at the meetings
- Support the activities of the UK Council
- Implement an annual giving scheme for individuals in the UK
- Design and manage special appeals
- Carry out prospect research into high-net-worth individuals for approach
- Develop ‘Case for Support’ documents and other fundraising literature for individual projects and core activity
- Promote and encourage legacy giving
- Research prospects and prepare and submit applications to businesses and local grant making bodies
- Manage cultivation and fundraising events
- Provide administrative support to the Director and, when appropriate, to senior members of the staff
These responsibilities involve a number of key activities as outlined below: Members
- Manage all Members efficiently, to ensure renewal processes and recruitment campaigns are carried out effectively
- Implement new Membership ideas as and when appropriate
- Ensure that benefits are delivered to all Members efficiently and professionally and that high levels of stewardship are maintained at all times
- Produce regular updates, offers, and events for Members in collaboration with the Visitor Experience Team
- Regularly contribute to communication/marketing tools for Members through the website, printed brochures, and other literature
- Create and manage bespoke events for Members to develop their interest and giving potential Major donor programmes
- Implement and manage a major donor programme in collaboration with the Director and Development Consultant
- Provide exceptional stewardship for all donors
- Regularly contribute to the overall individual giving strategy for major donors
- Support the senior management team and trustees in approaching major donor prospects for gifts Prospect research
- Set up and manage an ongoing programme of prospect research (high-net-worth individuals and local grant making bodies and companies)
- Produce profiles of prospects for the Director and trustees when required
- Develop Wealth Screening data where appropriate Legacy Giving
- To be proactive in creating legacy messages in the day-to-day fundraising cycle, using all opportunities available for its promotion
- Responding in a sensitive and discreet way to legacy enquiries
- Ensure that any legator known during his or her lifetime is provided with excellent care, including the involvement of their families where appropriate
Other individual giving
- Create opportunities for other individual giving through digital fundraising, online giving, crowdfunding and events where relevant
- Design and manage special appeals where necessary
- Manage gift aid contributions Grant-Making Bodies
- Oversee the preparation and submission of applications to small, local grant making bodies for a range of projects and programmes
- Support the Director and Development Consultant in the delivery of bids to major, national prospects for the Capital Programme
- Liaise with relevant departmental specialists and involve them when appropriate in the development of bids and delivery of grant conditions
- Ensure that effective monitoring and evaluation of projects is carried out where necessary and that reports are prepared on time for grant makers and that conditions are met Cultivation and fundraising events
- Manage a series of cultivation and other fundraising events each year Fundraising Data
- Ensure that records are well kept within the fundraising database
- Use the fundraising database to create reports for the Director when required
- Liaise with Visitor Services Team for accurate recording within the database systems Other

Personal Specification Essential
- Exceptional written and verbal communication skills
- Ability to plan and prioritise a demanding workload and meet deadlines
- Fully conversant with Microsoft Office, Word and Excel
- Excellent organisational skills and strong attention to detail
- Previous experience in support of fundraising, ideally in research, document preparation, and cultivation
- Strong interpersonal skills, able to relate effectively and appropriately to a wide range of people
- A demonstrable passion for the arts, heritage, or museums Desirable
- Educated to degree level or equivalent
- Previous experience working within an arts/heritage organisation/cultural sector
- Experience of working with fundraising databases or CRM systems
Other Information Job activities may vary and evolve over time to meet business needs.
Some evening and weekend work may be required, for example attendance at events.
Salary: £20,000 to £25,000 per annum
Hours: 37.5 hours per week (Monday to Friday)
Holiday: 20 days holiday plus 8 days public holidays pro rata.
Term: Permanent contract subject to probationary period of six months.
Pension: Employer contribution plus 3% employee contribution
