The purpose of the Property Assistant is to assist the; Property Manager, Operations Manager and Accounts Manager, to provide effective management of their property portfolio and team, by providing efficient and accurate administrative support for the day to day running of each appointed development. There is plenty of room to progress within this expanding, forward thinking business as long as you are a hard worker, who is willing to prove yourself over time.
Duties Include:
To assist in the management of developments, use a tailor-made property management system, accessed by; Clients, Residents and Contractors as well as the Property Management Team and Centres of Excellence when dealing with the following:
??Day to day maintenance
??Day to day contracted and cyclical maintenance
??Ensure electronic data, e-mails and client files are updated
??Flat owners/tenants queries
??On-site staff and related staff/contractor issues
??Issue of service charge and ground rent application for payments
??General property management administration
??Production of budgets, including reserve funding for the forthcoming year
??Circulation of information to residents
??Health and Safety audits
??Insurance claims
??Processing of invoices
??Solicitors enquiry packs (LPE1)
??Any other property issues as directed by the OM / AM
??Form part of a roster for holding of the 24/7 Emergency Phone
Additional elements to be covered:
??Attend and minute client meetings including the Directors meeting, usually held in the evenings
??Attend Cross Training Sessions and rotate through all departments of the company as required
??Participate in site visits to ensure all buildings are in good order
Experience and Technical Competency:
??Experience working in a high-end customer service / retail establishment.
??Ability to handle confidential information and sensitive matters that may involve the general public and handling issues and queries with professionalism.
