Our client is a privately owned managed data services provider serving UK mid-market customers. The Group has a converged services portfolio – including datacentre, connectivity, voice and cloud offerings – designed to help companies meet the challenges of a connected, always-on world.

They are now looking for an Office Assistant / Facilities Co-ordinator to oversee the reception and facilities of their London office.

This is an extremely varied role which includes responsibility for their communal reception desk; managing calls and emails and re-directing them as appropriate. Booking meeting rooms and arranging catering as required, you will coordinate security passes and the booking of visitors and clients whilst monitoring and maintaining stationary stock levels and office supplies. Their Office Assistant / Facilities Co-ordinator will also provide general administrative and clerical support including mailing, scanning, binding booking couriers.

Working alongside the Facilities Manager, you will be responsible for Health & Safety across all group sites. You will oversee the implementation of the M&E contract and review suppliers along with the Procurement Director. Understanding BMS and building systems associated within space, you will oversee office space management and coordinate office moves, whilst responding to any re-active tasks.

With a flexible and hands on approach, they’d like you to have the ability to build key relationships across the business and take responsibility in the absence of the Facilities Manager. With an understanding of Health & Safety regulations, you’ll be comfortable with setting up contracts, liaising with suppliers and carrying out maintenance tasks as required.

Knowledge of BMS (Business Management Systems) and PPM (Planned Preventative Maintenance) would be a distinct advantage, however this is not essential.
