Our client has a vacancy for a Float Secretary. You will be based primarily in the Harpenden office but will be required to float across other offices. The working hours of the role will be Monday - Friday 9am - 5.15pm.

Description:

This role will provide you with a wide range of responsibilities supporting various partners and fee earners covering holiday, sickness absence and overflow across the firm. When not in a booking you will be required to provide support to the Conveyancing department in Harpenden. You will be expected to work in a variety of different departments, to include but not limited to Residential and Commercial Property, Private Client, Litigation, Family and Employment. Support will be required across all of the firm's offices, depending on allocation of workloads so travel may be required between locations at short notice.

Duties:

Opening/closing/storage and retrieval of files in accordance with procedures;

Managing files throughout the transaction in accordance with all firm compliance;

Obtaining and checking proof of ID;

Reception cover;

Audio typing/copy typing;

Ensuring all client details are kept up to date;

Obtaining title deeds, Land Registry title and plans;

Preparing legal documentation;

Obtaining searches and replies to property questionnaires;

Using Case Management Systems, Land Registry Portal, SDLT, Outlook, Excel and other computer packages as appropriate;

Ensuring key dates are met;

Diary management including booking meeting rooms;

Database Management;

Checking post and dealing with matters arising when required;

Liaising with clients, estate agents and solicitors face to face or by telephone;

Scanning, copying and faxing;

Email using case management system;

Scanning Will files;

Preparing Completion Statements and completing transactions;

Registration of title and dispatch of deeds to lender and client;

Providing typing support to all departments at all office as and when required;

When not in a booking the role requires support to be provided to a conveyancer in the Harpenden office.

The appropriate candidate will have the following skills and attributes:

* An understanding of conveyancing procedures to include filling in legal forms;

* Ability to work independently, as well as in conjunction with the rest of the firm;

* Demonstrates persistence and commitment to completing tasks and objectives;

* Delivers output to a high standard;

* Excellent telephone manner;

* Fast typing skills;

* Good working knowledge of Outlook and Microsoft Word including Track Changes;

* Ability to use Case Management systems ideally OMS/Matter Centre;

* Flexible and adaptable;

* Outstanding organisational skills with the ability to prioritise;

* High level of accuracy and attention to detail;

* Excellent communication, ability to converse with a diverse range of people at all levels;

* Understand the importance of confidentiality;

* Able to use initiative;

* A commitment to maintain high client care standards;

* Reliable and dependable;

* Positive attitude.
