We are looking for someone primarily with experience in conveyancing, perhaps having had a previous role in an estate agency, who is familiar with the demands and expectations of customers/solicitors when buying a home. We would also been keen to look at candidates with knowledge/experience of shared ownership, tenancy/leasehold management or the wider housing industry***

Job Purpose:

To deliver a seamless and transparent Shared Ownership sales service - providing an excellent customer experience to customers wishing to sell their existing shared ownership home, buy more shares in their property or exercise the Right to Buy/Right to Acquire.

You will administer the sales process and supporting the Sales Managers/Sales Consultants to deliver a seamless customer experience from initial enquiry through to application/advertisement, solicitor's instruction and completion. You will support the Staircasing and Resales team to deliver a core part of Sovereign's landlord's services.

Key Deliverables:

Take responsibility for providing an excellent existing shared ownership sales progression and completions service by proactively progressing live transactions from initial enquiry through application/advertisement, solicitors instruction and completion.

Ensure processes and procedures are followed throughout the sales transaction to comply with leasehold legislation and shared ownership best practice, planning documents, requirements of the Capital Funding Guide, Money Laundering regulations, Property Misdescriptions Act and other relevant industry knowledge.

Provide advice on processes and policies for the service area, considering the sales individual circumstances and customers future relationship with Sovereign to internal and external customers.

Compile and prepare initial checks of leases, customer accounts and financial assessments to assess affordability/suitability of the customer to proceed with staircasing and resale transactions.

Source property comparables to verify and valuations to ensure price provided reflects current market value.

Create and issue relevant documentation to the transaction such as property listings/advertisments, buyer approval, memorandum of sales, completion packs, handover information.

Process post and receipt notices from solicitors such as Notice of Transfer/Notice of Assignment, Notice of Charge, etc. Record all correspondence in shared folders, document management and case management software, Dynamics and Docuware.

Complete post completion activities and circulate information to relevant internal stakeholders. Take responsibility for handing over the transaction to Home Ownership team or balancing rent accounts as appropriate.

Raise purchase orders and good receipt invoices on Agresso ensuring prompt instruction and payment of all goods and services as well as accounting for any variation.

Complete required CORE and HOIS reporting requirements to central government and Help to Buy are completed within agreed timescales.

Ensure agreed performance targets are achieved with an emphasis on income maximisation and arrears recovery.

Organise own time and workload effectively to achieve deadlines and targets, adopting a flexible approach to cover areas of work for colleagues as needed.

Take responsibility for minimising all types of risk to all transactions. With a particular emphasis on customer service, financial assessments, income recovery and compliance with leasehold legislation.

Support the Staircasing and Resales team to make sure team performance standards are met, procedures are complied with and workload is distributed effectively across the team.

To learn and develop technical leasehold knowledge and best practice in this field.

Establish, develop and maintain effective working relationships with all colleagues and external stakeholders such as solicitors, valuers and financial advisors.

Participate in learning and development activities to maintain and improve knowledge, performance and personal effectiveness.

To work closely with the wider Home Ownership team to ensure effective management of Sovereign's blocks and estates and resolve resident arrears during transactions.

Deliver the Staircasing and Resales team's strategic targets and contribute to Sovereign's wider objectives.

Observe and comply with Sovereign's policies and procedures and observe and continually promote equality and inclusion and customer care in compliance with organisational aims and objectives.

Continuously seek realistic ways to improve efficiency and effectiveness in your role, to help the department, and Sovereign, achieve its goals.
