We are looking for a competent Office Manager/Personal Assistant to provide support at our new office in a prominent retail space in Newcastle City Centre. We are a growing firm that is responsible for looking after £22m of clients funds and we are built on the excellent relationships and trust that we share with our clients. The ideal candidate will be hard working and professional, and will have excellent interpersonal skills to help develop relationships with our clients. Ideal strengths of this candidate would be excellent grammatical and analytical skills, and it is essential that they would be good whilst working as part of a team or at times as an individual. Good computing skills are also a necessity for this role.

Responsibilities include:

  • Carrying out all secretarial and administrative duties to ensure the smooth running of the office
  • Managing diaries, arranging internal and external meetings and receiving visitors ensuring that each meeting is seamlessly executed
  • Correspondence – drafting, checking and proofreading as needed
  • Recording details of all contacts with clients on a central software platform to ensure that regulatory record keeping standards are met
  • Preparation work for all follow-up meetings to ensure that all documents are ready in a timely manner prior to appointments
  • Processing sales on central software platform and ensuring that all relevant paperwork is sent to the correct destinations
  • Collating notes taken during client meetings and using the central software platform to transition them into a clearly worded financial report
  • Responding to client queries and actioning requests, ensuring all relevant follow-up paperwork is completed in a timely manner
  • Developing ongoing relationships with existing and new clients
  • Contacting third party insurance companies to collect required information on behalf of clients
