Office Administrator

JOB DESCRIPTION 

  • Preparation of project operation and maintenance manuals (compilation of all project documentation and relevant instructions for fixtures and fittings)
  • Updating Goldmine with PJE van bookings
  • Setting up new suppliers in IT systems (Goldmine and Sage)
  • Completion of credit application forms for new suppliers
  • Signing off supplier invoices against purchase orders
  • Checking supplier statements
  • Ordering client keys
  • Checking sub-contractor insurances are valid and up to date
  • Office management: ordering stationery, kitchen and welfare supplies, organising office cleaners, scheduling lift and alarm maintenance, fire extinguisher inspections
  • Incoming and outgoing post
  • Answering the phone
  • General filing
  • Assisting the Project Procurement and Logistics Co-ordinator and the Sales Co-ordinator with ad hoc tasks
  • Providing cover for the Project Procurement and Logisitcs Co-ordinator and the Sales Co-ordinator

Conditions of Employment:

  • This position is based in the Gloucester office and the hours are 8:30am to 5:00pm with one hour for lunch. 
  • The annual holidays total 24 days, 4 of which are designated company days and are taken over the Christmas period on dates dictated by the Board

Economic Conditions:

  • Salary negotiable depending upon experience

Desired Qualifications and Experience:

  • IT proficiency, particularly Microsoft Office software, particularly excel and word
  • Sage Line 50 preferable
  • Strong communication skills
