Job Overview
The Bath Anaesthetic Group LLP (BAG) has been providing anaesthetic services of the highest standards, to patients in Bath for over twenty years. In the role of Practice Administrator, you will be working in a three-person team to provide secretarial and bookkeeping support to the partnership of approximately twenty Consultant Anaesthetists whose private practice is based at three hospitals across Bath. You will have defined responsibilities within the admin team, but will be expected to be flexible and provide cover for other members of the team during holidays or periods of sickness. Training and support will be provided.
Reports To
The Admin Team report to the Partnership Management Team.
Responsibilities and Duties
- Typing up and distribution of clinical letters from dictation
- Resolution or referral of patient queries
- Data entry using DGL Practice Manager software (training provided)
- Invoicing & liaising with Private Medical Insurance Companies
- Responding to account queries
- Maintenance of Electronic Patient Records
- Keeping website up to date
- Admin lead for GDPR, including creating and updating data flow analysis, policies and procedures
- Dealing with post at BAG registered address and appropriately referring clinical queries
- Collecting relevant paperwork from hospital sites and transferring securely to other team members
- Holiday/Sickness cover for other members of the administrative team, duties to include:
-weekly allocation of cover for each hospital’s anaesthetic requirements
-liaison with booking staff at Circle Bath and the BMI Bath Clinic
-resolution or referral of patient queries received via telephone
Essential Requirements
- Honesty and discretion, required to work in a healthcare environment
- Ability to work under own initiative and to prioritise tasks
- Personable and diplomatic
- Attention to detail
- Knowledge of basic accounting principles and bookkeeping processes, including software
- Awareness of data protection and patient confidentiality. The successful candidate will need to demonstrate that there are no concerns when registering with the Disclosure and Barring Service (DBS).
- Knowledge and skills with Microsoft Word and Excel
- Flexibility to cover during office hours, when necessary
Desirable Skills
- Knowledge of hospital processes and surgical procedures
- Own transport
- Knowledge or experience with DGL Practice Manager software
- Knowledge of GDPR regulations
Location
The location for your job will be in a combination of three sites:
BMI Bath Clinic, Combe Down, Bath
Circle Bath Hospital, Peasedown, Bath
and also some working from home.
The job will require you to move between sites on some days (mileage reimbursed).
Hours & leave
You will be contracted for 30 hours work per week, between 09.00 and 16.00 (including one hour’s lunch break, unpaid) Mondays to Fridays.
20 days’ annual leave plus 8 public holidays per year, with holidays to be booked by mutual agreement with other members of the admin team.
Salary
£21000 - £23520 pa (£12.50 - £14 per hour)
Access to a pension scheme is available, through the National Employment Savings Trust.
