Job Summary

Provide continuity between Directors and staff to enable the business to meet its agreed aims and objectives. This is within a profitable, efficient, safe and effective working environment whilst maintaining a happy and committed team. The main areas of responsibility will be Office environment, Staff and Systems Development, Financial Reporting and Business Protection.

Skills and Knowledge Requirements of the successful applicant:

  • A broad Understanding of the requirements of a small to medium sized business
  • Ability to communicate well both verbally and in writing
  • Leadership and Team Building Experience
  • Ability to devise and review systems for operational efficiency and control
  • Ability to report on and explain accounts
  • Good knowledge of and ability to keep abreast of changing legislation relevant in the property sector and changing employment legislation
  • High aptitude for problem solving and decision making

Key Roles and Implementation Areas to provide competency areas

  1.  Improving Performance / Productivity
  • Overseeing optimisation of office layout, staff development / training / workloads and organising the ongoing paperless requirements
  • Organising time management / diary management / time recording & software
  • Reviewing the Offices hours of operation and optimisation of staff effectiveness
  1.  Business Protection
  • Manage risk / identify risks
  • Oversee efficient and easy to use systems / protocols
  • Oversee Company documents and templates – maintain and review
  • Organise Insurance – contents / life insurance / professional indemnity 
  • Ensure Compliance - Health & Safety / Data protection / RICS /FCA / Clients’ accounts
  • Organise Business interruption plans - in event of fire /flood at office
  • Oversee RICS – annual returns / CPD / gift register / money laundering regulations/complaints procedure/ registered valuers
  • Organise and Oversee Systems for monitoring receipt of cash and cheques into office
  • Oversee Mapping – Promap / Latitude Cartography
  • Oversee Broadband / I-cloud
  1.  HR
  • Monitor workloads / anticipate staff requirements for the business
  • Organise recruitment / Contracts of employment /  staff discipline
  • Organise Annual Staff reviews
  • Oversee Pay and pay reviews / pensions / staff records / death in service scheme
  • Organise Staff entertainment / monthly lunches / anniversary lunch / summer outing
  • Oversee Staff H&S / accident book
  • Oversee Holidays / holiday cover / sickness / work experience / ear to ground / “bridge”
  • Oversee Casual staff - management
  1.  Administration
  • Organise company records
  • Organising and overseeing Meeting agendas / minutes / follow-up
  • Organise Equipment / IT / office space/ stationery / photocopier /dead filing
  • Organise Telephones – contracts for mobiles / Ipads and office phones
  • Organise Subscriptions - RICS; CAAV; CLA; GCWT; Grasshoppers; HHA etc
  1.  Finance
  • Overseeing WIP/Bookkeeping / accounts / expenses / VAT/ accountants /Companies House
  • Overseeing Banking / overdraft
  • Organising Sales of shares documentation / dividend documentation
  • Overseeing above line matters
  • Overseeing Cost control / purchases / debt control
  • Instigating management fee reviews / hourly rate reviews
  1.  Business Development
  • Assist with Annual report implementation / Rental statistics / Management statistics / Bench marking
  • Organise Pitching packs / terms of business
  • Website / Marketing / Brand management / Events to attend / Entertainment / Sponsorship
  • Training / CPD
  • Give views on developing/broadening/curtailing the services the business offers

Practice Manager

Fowler Fortescue is a Rural Asset Management Company with offices at Fonthill Bishop SP3 5SH (West of Salisbury in Wiltshire).

The business has grown substantially and we now require a Practice Manager committed to running it full time in conjunction with the Directors.

The successful candidate will have experience of fulfilling a similar role.
