Administrative Assistant – West Midlands

The work

Work will be for “Corvus Midlands” projects that operate in the Midlands and throughout the UK. You will be employed by Corvus Security Ltd on a PAYE basis for the work you undertake.

The tasks you might have include:

  • Attend meetings with Directors for updates for administration and new starter inductions

Meetings and Contractor Inductions are at:-  West Midlands House, 1 Gipsy Ln, Willenhall WV13 2HA

Working primarily from home, using a work provided laptop and equipment as needed, your responsibilities may include the following types of administrative tasks:-

  • BS7858 Vetting of Staff or Contractors  
  • Tracking hours of contractors invoices
  • Tracking of hours for invoice to client and payment by head office
  • dealing with post/email
  • making sure that there is enough stationery
  • answering the telephone and passing on calls
  • reception duties such as greeting and looking after visitors
  • typing and setting up documents such as letters and reports
  • keeping computer records up to date
  • filing
  • using office equipment such as printers, photocopiers and fax machines and I.D. card printer
  • managing staff appointments
  • setting up meetings and taking minutes
  • making travel arrangements for staff
  • assisting with the booking of staff for work
  • undertake courses during work time as required e.g. SIA Courses, BS7858 Vetting Course
  • hold a valid SIA Licence (to be paid for by Corvus for the period of employment e.g £220/36x12)
  • the ability to communicate in English and Welsh is desirable
  • running admin on major event sites may be required
  • undertaking work in relation to the companies ISO9001 and ISO14001, Safe Contractor and other accreditations
  • getting quotes for procurement of items
  • providing information to main office for invoicing

Hours

Hours will be 10 hours a week over two 5 hour days being Tuesday and Wednesday. The exact hours can be agreed with the Directors to fit around childcare etc. if applicable.

In the future as work increases we may be able to extend the weekly hours. We may also (with notice) ask you to support inductions on other days during the week. You will be paid at the same rate for any extra hours you agree to undertake.  

Income

  • Starting salary £16,286.40 Pro Rata equivalent hourly rate   £7.83
  • Hours
  • 10 per week daytime Tuesday and Wednesday 2 x 5 hour days
  • Part time hours by agreement
  • 28 days holiday pro rata
  • Option to work on festivals and events in addition to usual duties
  • Contract Duration 12 months fixed term initially with a 3 month probationary period

Entry requirements

Past administrative experience is necessary and the position is subject to BS7858 vetting and non-frontline SIA licensing.

Training and development

Once working, you will be given induction training, covering Corvus office systems and procedures as per our ISO9001 ISO14001.

We may offer further opportunities to take training towards qualifications.

  • an organised approach and excellent time management skills
  • good communication skills
  • the ability to work well as part of a team
  • computer literacy and good typing skills
  • a good level of English and Welsh spelling and grammar
  • accuracy and attention to detail
  • the ability to use your own initiative but also know when matters need to be referred to a supervisor.
