ARCHIVING ADMINISTRATOR

Bishop’s Stortford

£18,000 - £21,000 per annum

Our client is an engineering company offering an advanced manufacturing service to the Aerospace and Defence Industries.  They are currently seeking to recruit an Archiving Administrator for their Bishop’s Stortford branch.

Job Purpose:

To play a key role in ensuring all records are maintained in accordance with business, regulatory and statutory requirements.

Main responsibilities and duties:

  • Keep accurate, comprehensive and legible records in a suitable environment that is not subject to damage or loss.
  • Archiving the companies’ manufacturing records using the scanning system.
  • Ensure compliance with Procedure INF-QA-1 Chapter 17 and that the scanning of work records is a continuous operation.
  • Ensure that data is backed-up and thoroughly protected at all times.
  • Ensure the Archiving Centre is locked when unoccupied.
  • Retrieving and the printing out records; and emailing/posting them to the person(s) requesting them as required.
  • Maintaining the Daily Batch Sheets, recording all documents scanned and ensuring that appropriate entries are made when documents are destroyed.
  • Monitoring the serviceability of the computers, scanners, writers and backup systems within the Archiving Centre, and taking appropriate action in the event of any breakdown.    
  • Liaising with the IT Department as required, in the event of technical malfunctions, operating difficulties and/or the technical upgrading of the Archiving Centre’s computer equipment.
  • Perform any other duties within your capabilities as directed by the Company

Skills and experience required: 

  • Previous experience in a similar role/administration role desirable
  • Proficient in the use of MS Office programs
  • Must be capable of producing work to a high standard of accuracy
  • Have excellent communication skills as will be expected to develop working relationships internally and externally
  • Self-motivated, enthusiastic and capable of working to deadlines
