Responsibilities * Lead the development of and implement the agreed strategy for property management services, imbedding Customer Experience at the heart of it. * Manage the appointment and oversight of all managing agent instructions to include KPI/performance monitoring and reporting, tenders and drafting and negotiating appointment contract documents. * Develop a European panel of managing agents and the corresponding suite of appointment documents in each jurisdiction. * Manage and update (to include negotiating) the standard property management fee matrix. * Update, improve and standardise managing agent processes. * Ensure property managers embrace all current legislation and comply where necessary. * Develop and improve reporting from property managers in a more data driven and analytical direction in-line with our new asset management objectives. * Manage the property insurance programme for all direct property investment funds, agreeing the annual strategy and ensuring the insurance brokers implement. * Manage the appointment and oversight of all insurance broker instructions. * Manage the oversight of the annual insurance valuation programme to ensure all assets have sufficient insurance cover at all times. * Develop and maintain robust health and safety management reporting (to include fire risk assessments, water and asbestos management) and the use of the risk management software. * Manage property asset management problems from the Real Estate Team and recommend, advise and direct on appropriate action. * Monitor and assess legislation and keep at the head of best practice and requirements. * Maintain a suite of comprehensive standard appointment documentation suitable for asset management activities. Review regularly to keep in-line with market practice, legislation and internal risk profiles. * Build and maintain relationships with Aviva Investor/Aviva personnel globally. * Building and maintain effective working relationships with third party service providers. * Line manage a team of Real Estate Support Executives dealing with document execution, consultant appointment management and real estate transaction workflows. * Manage risks, audit and processes relating to property management and insurance services. * Extensive input into developing and improving our Asset Management platform Yardi - improving the quality of data received from the property managers into it and the outputs and reporting derived from it. * Work with colleagues to develop best practice and efficient processes on Real Estate Team wide initiatives. Requirements * Experience within a similar role. * Proven extensive experience of the UK Commercial property market to include demonstrable knowledge of property law, regulations and asset management best practice. * Experience of strategy development and implementation of property management services. * Line management experience, demonstrating the ability to lead and motivate a small team. * Experience managing a property insurance programme and demonstrable knowledge of property insurance requirements. * Experience drafting and negotiating contracts (alongside lawyers). * Experience reporting to clients and senior management on supplier performance metrics. * Demonstrate experience of working within a results driven role. * Demonstrate experience of accountability and the ability to work autonomously and with self-direction. * Demonstrate experience of building strong external relationships with suppliers, and experience of effectiveness in both the good and challenging periods of supplier management. * Demonstrate a proactive mentality with strong organisational skills and time management. * Proven ability to multi-task - implementing strategic aims alongside the day to day property management needs. * Demonstrate excellent written and oral communication skills and outstanding attention to detail.
