The Opportunity:
We currently have an exciting opportunity for a Senior Administrative Assistant/Regulatory Assistant for 12 months to support our client's UK Regulatory Affairs Team (UKRA) team, based in Holborn.
Skills and Experience:
- Previous experience working in a highly regulated environment (Pharma/Healthcare) would be ideal
- Successful candidates will have significant administrative experience working in a corporate, processed-focused, fast-paced environment
- Excellent verbal, written, and interpersonal skills are needed for stakeholder management and working collaboratively
- Requires knowledge and understanding of administrative and office policies and procedures.
- Must possess good proofreading and editing skills of technical documents.
- Advanced knowledge and experience using a number of office software (MS Office) and knowledge of PowerPoint and Visio is desirable for this role
- Working under minimal supervision, you will need to be a team player to perform non-routine job responsibilities and duties as and when required
Role and Responsibilities:
- Providing administrative support, calendar management and organises travel arrangements for the UKRA Director and the wider UKRA team
- Gathers agenda topics for group meetings, room bookings and organises technical support for VC meetings and takes meeting minutes for team meetings
- Raises necessary purchase orders (PO's) for Outsourcing Partners, Functional Service Providers and Systems vendors, and works with Business Conduct to ensure activities remain compliant and in line with company policies
- Manages the budget tracker for UKRA team, and helps monitor UKRA team spend in line with tracker
- Working with the Regulatory team on submission planning and coordination, and maintenance of local systems
- Archiving and document retrieval processes
- Preparing and assisting with PowerPoint presentations as required
