We are looking for an Administrator who has had some exposure to secretarial duties to carry out aministrative tasks for the various editorial teams across various legal teams in the Hebden Bridge office.

Full training will be provided however you must have some solid administrative experience, ideally with knowledge of SAP.

Role Purpose/ Summary:
To carry out administrative tasks across editorial teams

Our Legal organisation focuses on connecting our customers' businesses to the ever-changing legal and regulatory environment. We provide critical online and print information, decision support tools, software and services to lawyers who practice in law firms, in corporate legal departments and in the public sector.

Major Responsibilities / Accountabilities:

  • Administering complimentary subscription, updating Q&As admin, JIRA requests to create PDFs and PDF checks for various teams across the UK
  • Deal promptly with customer orders, queries with regard to different systems
  • Ensure compliance with the terms and conditions of the Copyright Licensing Agency
  • Participate in all aspects of the Document Delivery Service process including management of subscriptions both new and ongoing, maintenance of records in Kardex and monitoring receipt and progress of journal issues through LJI workflows
  • Track and process subscriptions through SAP and liaise with vendors
  • Process all publication, subscription and membership orders and purchase orders
  • Update Kardex to maintain compliance with the terms and conditions of the Copyright Licensing Agency
  • Supply JCT contracts to customers, and liaise with the JCT team.
  • Scan journals, and upkeep of the library
  • Assign journals to external indexers/dealing with the returning journals
  • Keep up-to-date all Freelance Operations, author and offshore databases
  • Work in SAP to raise purchase orders, set up new and amend existing vendor records
  • Ensure all freelance and author invoices are raised and processed, following up with accounts team when necessary.
  • Maintain a high standard of service for CPD customers and liaise with the CLW team as required.
  • Maintain supplier relationships by ensuring payments are made promptly, and all deadlines and SLA's are met.
  • Prepare and load journal and law reports to to meet SLAs
  • Create and maintain records on Statlist of Legislation published
