Our client is currently looking for an experienced Legal Secretary / PA to join their Wills, Tax and Trust department on a part-time basis.
Job purpose:
To deliver effective PA support primarily to the Will Tax & Trusts team Partner (Richmond) with support as and when required to the other Private Client partners, enabling them to deliver their responsibilities to the best of their abilities.
KEY ACCOUNTABILITIES AND RESPONSIBILITIES:
??To act as first point of contact for both internal colleagues at all levels and external clients and referrers.
??Optimise time through proactive management of diary by prioritising and arranging meetings and appointments. Actively filter telephone calls by evaluating the urgency and importance of all matters and preventing trivial distractions.
??Be able to provide clear travel/logistics information for external meetings to ensure is both timely and organised.
??Proactively manage email's, bringing any issues to attention, ensuring that items requiring action are followed up to ensure that deadlines are met. Within agreed parameters resolve or action emails or delegate items to the relevant team member as appropriate.
??Develop and manage the calendar for regular meetings such as team, marketing and departmental meetings, ensuring future agenda items are brought forward, manage the co-ordination of agenda items and papers (if required), and preparation of draft agendas and papers as required.
??Provide general administration for the Private Client team including travel arrangements, accommodation and processing of invoices (subscriptions and training) and expenses. Acting as general liaison with the accounts team.
??Assist in the preparation of management/team meetings, the production of documents (internal), presentations (internal and external), and attend meetings to take notes as and when required.
??Provide project co-ordination for tasks and activities as and when directed by the Partners as required.
??Communicate clearly and concisely with internal colleagues (all levels) and clients/referrers, maintaining confidentiality at all times.
??Achieve an appropriate balance between direction and diplomacy to achieve the desired outcomes.

TECHNICAL SKILLS AND KNOWELEDGE:
??High literacy and written skills
??Excellent PowerPoint skills and ability to creatively pull together presentations
??Advances ability to use Microsoft Word, Outlook and Excel
??Basic project management skills
WORKING HOURS
The ideal candidate will want to work part time, either 4 days per week or every day but shorter hours (i.e. someone who wants to work until 3pm each day)
