Our client in North West London are seeking a Placements Officer to start as soon as possible in their team for 3-4 weeks with the possibility of extension.
The client, a leading Higher Education provider are seeking an experienced Administrator to support the Contracts, compliance and governance departments, starting as soon as possible at their North West London site and paying GBP12-14 per hour
Overall Purpose:
The individual will be required to manage own workload and work within a team to undertake the complex allocation of students to placements for clinical and community experience and Social Work student placements , to meet the requirements of the relevant training syllabus and the regulations of education provider teams, and the University. To liaise and maintain links with professional stakeholder organisations presently offering placements. Associated
financial accounting with these roles using a strong customer focused approach will also be expected
The role will consist of assisting both the Clinical Placement team and the Placement teams and duties will be decided between the below:
Clinical Team Duties:
Use System One to allocate placements for students, taking into account special requirements/restrictions, curriculum requirements and plan 12 months in advance for cohorts.
Inform appropriate teams of complex issues (e.g. interruption/ resumption of training; over or under subscribed placements; DBS clearances; Occupational Health clearances; student placement preferences; absences) and take action as required
Respond to enquiries and complaints from practice supervisors, assessors, placement providers Practice educators or students in regards to placements as appropriate, by telephone, in writing and in person and by also providing appropriate documentation including details of all policies and procedures and assessment strategies.
Liaise and maintain professional networking relationships between students, Clinical Managers and Clinical Placement Facilitators within trusts, academics, Student Bursaries, private organisations external organisations and other departments in matters of placement
Provide statistical information, student group lists and reports for the School as required and distribute as needed
Publish placement programmes and cohorts change list
Provide support and advice to students experiencing difficulties (personal, social, academic) and refer for appropriate professional support.
Monitor sickness/absence of students and ensure data is input, recorded and accurate
Produce transcripts of training upon completion of programmes; produce Declaration of Good Character and forward appropriate teams
Record and update any changes relating to students personal information, informing the appropriate associated services and departments
Scrutinise students practice profiles to ensure that clinical placements meet requirements
Engage with the Head of Contract Placements and Placement Co-coordinator in periodic reviews of departmental performance and contribute to the overall development plan
Support the Head of Contract Placements and Placements Co-coordinator with implementation of change management across the Confederation of Trusts with regard to clinical placement requirements (forecast model, communication network)
Contribute to the improvement of placement service to students and ensure relevant organisations are informed of complex issues
Deputise effectively for the Placement Co-coordinator and take decisions as required
Raise purchase order requisitions and process
Provide administrative support as required and respond where possible to requests for assistance from other areas of the Academic Registry
Provide cover effectively for other Placement Office staff
Placements Team Duties:
Assist in the development of the placement handbooks and documentation for the Practice Educator's Workshops
Provide all administrative support for the Practice Advisory Panel meetings and attend meetings
Maintain a student interim & final report filing system and distribute to appropriate teams
Maintain an up to date database of placement agencies and off site practice assessors and placement forms
Liaise with external stakeholders on all placement matters including financial returns and quality assurance issues
Responsible for co-ordinating, maintaining and producing financial compliance reports for submission to appropriate teams in relation to forecasted and actual expenditure
Reminding and informing agencies of the payment process, including setting up new placement providers as new suppliers, raising purchase orders and dealing with invoices
Have involvement with assessing suitability issues with Practice Educators and participate in making decisions in regards to student's placement allocation.
Assist in planning student and PE workshops ensuring all professional requirements are met.
Analyse and provide statistical data to governing bodies and review emerging central policy directives to the Director of Programmes and Head of Dept for action.
The role holder will be required to work both on site & off site visiting placements as and when required.
Participate in the induction of new academic and train administrative staff in relation to introducing the systems and processes in place for placements.
Organise and attend programme/placement preparation days and send out placement preparation day pack to all new students
