The Role

At present there are three Deputy Pass Office Managers who between them have direct line management responsibility for up to eight members of staff which will be a key aspect of the role. As well as carrying out administrative tasks the team deal face to face, by email and telephone with Members of both Houses, their staff, House staff, contractors and the media so you will be expected to work with your team on skills development in all these areas.

The post-holder will also focus on data management within the Pass Office, becoming proficient in all the administrative processes undertaken by the team and ensure that work flows smoothly and accurately through what is currently a fully paper-based process. The work is complex and fast paced so an eye for detail and an ability to work under pressure is important.

The Pass Office is currently being reviewed with a view to delivering a more customer-focused approach to passholders and sponsors, digitising many of its processes, and ensuring effective security vetting aftercare. This could result in a restructuring of the work of the Pass Office with consequent changes in the scope of the role. The postholder will be expected to collaborate in this process and maintain effective delivery of current services throughout the transformation

The Person

The successful candidate will have the following skills/experience:

  • Experience of managing workloads in an administrative environment, ensuring that tasks are appropriately allocated to meet changing priorities and fluctuating levels of demand.
  • Ability to manage performance consistently and fairly, empowering staff to deliver effectively and recognising achievements.
  • Strong interpersonal skills, with an ability to establish effective working relationships with Members, staff and contractors at all levels, upholding the principles of equality, diversity and inclusion at all times.
