HR Advisor -

Job Purpose

* Provide generalist HR advice to the business and coordinate recruitment.

Accountabilities

Human Resources

* Provide generalist HR advice to Managers, Stores and answer employee queries;
* Issue offer letters & contracts for new starters, including setting up the personnel file, raising fusion work items and identification checks (ensure ID is signed) and then pass to HR Assistant to conduct employment references;
* Maintain Fusion with all employment changes, (new hires, leavers, job changes etc.);
* Issue leaver letters for employees, ensuring that personnel/electronic file removed accordingly and record Exit interviews;
* Organise the inductions for new employees liaising with each department conducting to secure times, sending calendar invites to all and sending information to new employee and their Line Manager and conducting the HR part of induction;
* Produce London or Witham access cards and issue to new employees on induction day;
* Diarise new employee probation dates and issue the probation review emails, ensuring that review paperwork is received in timely manner, diarise any extension and issue the relevant letter dependent on pass or extension;
* Produce all FTC, Secondments, Intern letters and diarise end dates and monitor in a timely manner;
* Produce contract amendment letters for any changes to location/job titles/hours and ensure updated on Oracle/Payroll system;
* Prepare maternity and paternity letters and ensure we have received risk assessments and MATB1's;
* Updating all change of circumstance forms (e.g. address changes/bank changes) on Payroll/Blue Man and ensuring a copy is given for payroll purposes;
* Update monthly Audit report with headcount numbers for both weekly & monthly payroll;
* Issue ex-employee, tenancy & visa references when they arise;
* Pension correspondence letters for employees and ex-employees;
* Update a HR policy/procedure each month in accordance with updated legislation;
* Take daily sick calls and email Line Manager and copy HR Absence email;
* Responsible for sourcing and booking any training required for employees and recording on the HR training matrix and dealing with all associated aspects of training (agreements, venues etc.);
* Log invoices received and pass onto accounts;

Payroll:

* Run payroll on a bi-weekly basis and ensuring that monitoring checks are in place for when another team member is producing;
* Prepare all monthly payroll in the interim in order to eventually take ownership and HR Director become the final check;

Recruitment:

* Take control of the recruitment of allocated positions (to be advised by HR Director which positions), including preparing advert/description to go to agency, saving each CV in Google and under CV's, forwarding to Manager and chasing feedback/arranging interviews;
* Assisting with interviews, note taking, providing feedback;

Health & Safety

* Maintain all aspects of the Health & Safety for stores and offices, working alongside the London Office Manager;
* Be the main point of contact for Proactive ensuring that servicing, certificates and remedial work is completed and produced within in a timely manner;
* Attend annual H&S audits and complete off any action points raised;

Training:

* Source training courses as required by the business ;
* Be responsible for the administration of booking and coordination of the training courses;

Other:

* Carry out store visits, ensuring that HR/H&S paperwork is up to date and discuss HR related matters;
* Be a presence in the London office on bi weekly basis;
* Be responsible and respond to the recruitment email box;
* Respond/provide cover for the general day to day enquiries that go to the group emails (HR Europe, Payroll and Absence)
* Filing weekly;
* Any other ad-hoc duties as advised by the HR Director;

Person Specification

* Previous experience working in a HR department at Advisor level;
* Degree in HR and/or CIPD qualification commenced;
* Computer literate;
* Organised and able to prioritise workload;
* Good attention to detail;
* Proactive;
* Confident communicator
