Job Title: Business Support Administrator (Maternity Cover)

Salary: £17,952 pro-rata

Location: Sheffield

Job Type: Part time (3 days p/week), FTC end 31st January 2020.

Start Date: Approximately 10th December 2018

Interviews: Week Commencing 26th November 2018


Purpose of role:

 

To provide a professional administrative support to the business. The role is key to providing a service to internal and external customers in order to enable heightened efficiency within the day to day business operations.

Main responsibilities:

  • Coordinate all business travel and hotel arrangements for all employees
  • Prepare agenda's, minutes and all relevant documentation for all Quality, H&S and other meetings where required.
  • Provide business administrative support where required as directed by the Senior Administrator
  • Reception cover where required
  • Gather and compile weekly staff bulletin 'Round-Up'
  • Produce posters where requested surrounding absence, benefits etc.
  • Issuing staff birthday cards
  • Gather interest and make arrangements for internal Knowledge Sharing Sessions
  • Record responses to the Monthly Quality Update
  • Log Complaints, Internal anomalies and Improvement Suggestions.
  • Record and respond to external certificate requests.
  • Help with the first aid and fire extinguisher checks and weekly fire alarm checks.
  • Log and monitor accident and incidents.
  • Monitor and maintain Risk Assessments and Risk register.
  • Order First Aid and PPE supplies.
  • Maintain strict confidentiality at all times
  • Experience in administration tasks including, word processing, record keeping and data entry
  • Strong Microsoft Office skills including word, excel and PowerPoint
  • Ability to deliver a high level of customer service to both internal and external customers
  • Good communication skills, both verbal and written with the ability to contribute within meetings and deal with people at all levels.
  • Strong attention to detail
  • Effective organisational and time management skills
  • Ability to work independently and use initiative in day to day tasks
  • Self-confident and self-motivated
  • During the course of these duties the post holder may have access to, or witness commercially sensitive/confidential information. This must not be divulged to an unauthorised person at any time.
  • Some out of normal office hours working, travel and over-night stays will be required, including overseas.

To ensure that health and safety standards are maintained and improved in accordance with the Health and Safety at Work Act etc 1974, and the health and safety policy statement, the post holder must ensure that safe systems of work are used within own area of responsibility
