A fantastic part time opportunity for an experienced Secretary or Personal/Executive Assistant paying GBP12 p/h.

Your new company
Your new company is a market leading financial services business based in Swindon. Due to growth they are looking for an experienced Office Assistant to join their team on a permanent part time basis.

Your new role
You will be assisting the Office Manager in maintaining the administrative function of the business and support the Partners/Fee Earners in order to help them work more effectively, as follows:

  • Carry out mailshots using mail-merge - electronic and paper - and maintain records of responses, to be followed up in a timely manner on behalf of the Partners autonomously
  • Be proactive in the preparation of key documents (Information Memoranda, Confidentiality Agreements, Proposals, Presentations, etc) and issue on behalf of the Partners, following up where relevant.
  • Answer the telephone as a priority ensuring callers are transferred, enquiries dealt with or messages passed on accurately and promptly.
  • Act as first point of contact for Director/Partners when they are out of the office and manage any communication/correspondence in an efficient manner.
  • Maintain and update the Firm's extensive database, in line with GDPR regulations, to ensure that all data is effectively captured.
  • Meet and greet all visitors
  • Monitor/manage office contractors eg, cleaners
  • Maintenance - organise estimates, contractors, read meters, etc
  • Facilitate press releases for deal completion and arrange photos as required
  • Liaise with local business press and organise submission and proofing of articles as required


What you'll need to succeed
The right candidate will have:

  • A secretarial background
  • Excellent communication skills, both written and verbal
  • Excellent organisational and interpersonal skills and the ability to work as part of a team
  • The ability to work in a fast paced environment and to react quickly and professionally to any given situation
  • Excellent time management skills with the ability to prioritise and multi-task, under pressure at times
  • Good knowledge of Microsoft Office
  • A confident telephone manner
  • Must be well spoken and fluent in English language
