We're working with a well-established company to recruit a Team Administrator/Secretary to join their team on a Full-Time Permanent basis in the Oxford area.

The successful candidate would be required to provide full secretarial support to four fee earners within the Rural Team and for general secretarial for the wider Rural Department.

The ideal candidate should be used to working in a fast paced environment, have good attention to detail and have a strong secretarial background. The candidate must be very organised, able to take initiative and build a rapport with clients, consultants and the team. A self-motivated individual, they will also be able to demonstrate reliability, flexibility and initiative.

Hours: 9am until 5pm Mon - Friday
Salary: GBP24,000 - GBP27,000 (depending on experience)

Primary duties:
•Providing full administrative support to the Rural Management Team and support to the wider Rural Department.
•Diary management for the team, including internal and external meetings, travel and hotel bookings when required.
•Audio/copy typing/report writing.
•Filing, scanning, archiving, binding reports and photocopying.
•Daily management of Microsoft Dynamics data including; running reports, updating contacts and companies.
•Creating instructions, raising fee invoices and fee share allocation and disbursements using Dynamics.
•Updating and/or producing, fee sheets, spreadsheets, presentations, reports, pitches and correspondence.
•Dealing directly with clients, over the telephone, taking messages and occasionally face to face meeting with tenants and contractors.
•Opening and distributing post.
•Set up and maintain filing and archiving systems and improving systems currently in place
•Organising client and staff entertainment for the Rural Department
•Proof reading.
•Ensure GDPR regulations are maintained.
•Maintain and develop e-filing systems.
•APR - Monitoring / Updating property management records.
•Liaising with tenants to arrange contractor access to properties.
•Schedule external support: e.g. printers, photographers, couriers, training etc.
•Occasional instruction of reactive repair works using APR.
•Assisting with updating of contractor management records.
•Maintain a high level of professionalism when dealing with clients and colleagues.
•Exercise confidentiality and discretion at all times.
•Adhoc duties as required.

The ideal candidate will have:
•Strong IT skills and to Intermediate/Advanced Microsoft Office skills (incl. PowerPoint)
•Experience of working across team's/departments desirable but not essential
•Excellent organisational and co-ordination skills
•Excellent verbal and written communication skills
•Excellent time management skills
•Ability to multitask and to work accurately and effectively under pressure
•Must understand the principles and practice of client care.
•Ability to work in a team and understand team dynamics
•Strong proof reading and attention to detail skills
•Reliable and able to handle confidential matters and be discreet at all times
